Rutgers, The State University of New Jersey is seeking a Sr. Customer Service Representative within Academic Affairs at the Rutgers School of Dental Medicine (
RSDM).
The Sr. Customer Service Representative talks on the phone or in-person with registrants to take and process course registrations, as well as processes fax, mail and online registrations. In addition, this role involves preparing and processing daily cash and credit card deposits, completing and processing appropriate forms and reports. Additionally, the individual will review and post receipts and payments to appropriate ledgers, spreadsheets, records, and databases. Further, this role includes preparing receipts, confirmation letters, program rosters, participant lists, name badges and credit letters. The individual will also assist in the day-to-day operation of the Department of Continuing Dental Education.
Essential Duties and Responsibilities include the following:
- Takes program registrations by phone, mail, fax and on-site.
- Processes all registrations taken, including online registrations.
- Prepares and processes daily cash and credit card deposits, by completing appropriate reports.
- Reviews and posts receipts and payments to appropriate ledgers, spreadsheets, records, and databases.
- Provides general office/clerical support for Continuing Education program activities for the Office of Continuing Dental Education (i.e., typing, filing, duplicating, bookkeeping, mail distribution, etc.)
- Organizes assigned clerical work and develops effective work methods.
- Develops and maintains mailing lists and distributes materials to prospective registrants.
- Handles routine telephone inquiries regarding program activities and/or directs caller to appropriate source.
- As required, day to day word processing/typing.
- Maintains essential program records and files.
- Assists with program planning, and when so required, with the revising of clerical procedures and office routines, and sees that suitable systems are put into action.
- Compiles, tabulates, and interprets needed data and statistics and prepares appropriate reports as needed.

Qualifications
| Minimum Education and Experience |
- High School diploma or equivalent.
- Three (3) years of prior clerical experience, preferably in providing support for program activities.

- Must he computer literate and have worked with Windows 98 or higher. Knowledge of Microsoft Word, database software, and audiovisual equipment a plus.
- Must be available to begin work early (6:30 a.m.) on Wednesdays, Fridays and possibly on other days as assigned.
- Must be able to work one weekend per month (between September and June) and irregular hours as program activity schedules require, overtime may be required on short notice, during peak workloads.
- May at times be required to work at a location other than originally assigned. Overnight stays may be required.
- A valid driver's license is required and must be able to drive to off-site locations.
