The Coordinator for Housing Operations at Davidson College supports the daily administrative and operational functions of the Residence Life Office (RLO). This position coordinates assigned housing operations processes and serves as a key resource for students, families, faculty, and staff regarding housing-related questions and services. The Coordinator plays a critical role in supporting housing assignments, occupancy processes, room changes, summer housing, billing coordination, hall access, asset inventory, and housing system administration. The position is responsible for maintaining accurate housing data, coordinating assigned functional areas, and ensuring processes are carried out efficiently, consistently, and in accordance with established policies and procedures.

The Coordinator works closely with the Assistant Director of Housing Operations and other RLO staff and campus partners to support the successful delivery of housing services and a positive residential experience for students.

Essential Responsibilities Housing Operations & Assignments



  • Coordinate assigned housing processes, including housing assignments, room changes, cancellations, and occupancy updates.
  • Manage housing processes for first-year students, transfer students, study abroad returnees, mid-year transitions, and other assigned populations.
  • Coordinate Summer Housing processes, including intern housing and special guest housing.
  • Manage waitlists, off-campus permission processes, early arrivals, late stays, and other assigned special housing requests.
  • Maintain accurate housing records and communicate housing decisions, deadlines, and requirements to students and campus partners.
  • Assist with the implementation of housing timelines and operational procedures established by the Residence Life Office.


Systems & Data Management



  • Serve as a functional user of the housing management system (e.g., StarRez), supporting assignments, forms, workflows, reports, and routine system functions.
  • Maintain accurate student housing records and complete routine data audits and spot checks.
  • Process housing charges and credits and coordinate with the Controller's Office to support accurate student billing.
  • Identify data or system discrepancies and work with the Assistant Director and appropriate campus partners to resolve issues.
  • Assist with maintaining and improving housing processes and workflows within StarRez to support operational efficiency and the user experience.


Move-In, Move-Out & Housing Transitions



  • Coordinate assigned responsibilities for fall, spring, and summer move-in and move-out operations.
  • Support check-in and check-out processes and related housing communications.
  • Coordinate early arrival and late stay processes in collaboration with Residence Life staff and campus partners.
  • Assist with mid-year housing transitions and other temporary housing needs.
  • Support the implementation of operational improvements, including self-check-in processes and updated clearance procedures.


Customer Service & Student Support



  • Respond to housing-related inquiries from students, families, faculty, and staff.
  • Provide timely, accurate, and professional guidance regarding housing policies, procedures, timelines, and requirements.
  • Address routine housing concerns with professionalism, empathy, and consistency.
  • Escalate complex or sensitive concerns to the Assistant Director or appropriate RLO leadership.
  • Maintain a student-centered approach when communicating housing information and resolving concerns.


Facilities & Building Access



  • Coordinate the RLO hall key process, including key distribution, collection, tracking, and related records.
  • Maintain and support an efficient key management system.
  • Coordinate with the CatCard Office to support student and staff hall access.
  • Maintain accurate records related to building access and housing-related assets.
  • Maintain and update asset inventory for assigned housing areas.
  • Report access, key, furniture, or other facilities-related concerns to the appropriate RLO staff or campus partner.
  • Assist with housing facilities projects and operational needs as assigned.


Collaboration, Documentation & Office Support



  • Provide training and guidance to professional and student staff regarding assigned housing operations processes.
  • Assist with developing, updating, and maintaining housing operations documentation, procedures, timelines, and training materials.
  • Participate in departmental meetings, planning efforts, and campus committees as assigned.
  • Collaborate with campus partners to support the effective implementation of housing operations processes.
  • Maintain confidentiality and appropriately handle student and institutional information.
  • Provide cross-training and operational support within the Housing Operations team during peak periods.


Required Qualifications



  • Bachelor's degree required.
  • Experience in housing operations, residence life, student services, or higher education administration.
  • Experience with StarRez or other housing management software.
  • Ability to work collaboratively with students, colleagues, and campus partners.
  • Experience with key/access management or residential facilities operations.


Preferred Qualifications



  • Knowledge of student billing, occupancy management, and housing assignments.
  • Experience developing or maintaining operational procedures and documentation.
