Position Summary

AB Staffing Solutions is seeking a highly organized and service-driven Licensing Specialist to support physicians and advanced practice providers through the state licensure process.

This role is responsible for providing a white-glove licensing experience, guiding healthcare providers through each step required to obtain and maintain state licenses. For example, when a physician currently licensed in Arizona accepts an assignment in Georgia, the Licensing Specialist will help navigate the Georgia licensing process, coordinate required documentation, track deadlines and requirements and stay closely connected with the provider until the license is issued.

The ideal candidate is detail-oriented, persistent and comfortable managing multiple providers and state licensing processes at the same time. Previous experience within locum tenens, physician staffing, credentialing or provider licensing is strongly preferred.

Key Responsibilities
  • Guide physicians and advanced practice providers through state medical licensure from initial application through final approval

  • Provide a high-touch, white-glove experience by clearly explaining licensing requirements, next steps, timelines and outstanding items

  • Manage multiple provider licensing files simultaneously across different states and medical boards

  • Research state-specific licensing requirements and ensure applications are completed accurately and on time

  • Prepare, review and submit licensing applications and supporting documentation

  • Assist providers with gathering required documentation including education verification, employment history, references, background information and other board requirements

  • Coordinate primary source verifications and third-party documentation required by state licensing boards

  • Monitor licensing applications closely and follow up with providers, state boards and other organizations until licenses are issued

  • Proactively identify missing information, application concerns or potential delays and work to resolve them quickly

  • Maintain frequent communication with providers throughout the licensing process so they understand exactly where their application stands

  • Track application deadlines, board processing timelines and anticipated license issuance dates

  • Maintain accurate and detailed licensing records within internal systems

  • Support license renewals, additional state licenses and other licensing-related needs as required

  • Partner with recruiting, credentialing, compliance, sales and operations teams to ensure licensing timelines align with anticipated assignment start dates

  • Communicate potential licensing delays or risks to internal stakeholders as early as possible

  • Maintain confidentiality while working with sensitive provider documentation and personal information

Licensing & Board Coordination
  • Communicate directly with state medical boards regarding provider applications, outstanding requirements and application status

  • Stay informed on licensing requirements, regulations and process changes across multiple states

  • Help providers understand differences between individual state licensing processes

  • Coordinate documentation between providers, medical boards, hospitals, universities, training programs and other verification sources

  • Troubleshoot licensing issues and determine the appropriate next steps when applications encounter delays or additional board requirements

  • Maintain professional and persistent follow-up with licensing boards to help move applications toward completion

  • Understand and utilize expedited licensing pathways, interstate compacts or other available licensing options when applicable

Provider Experience
  • Build strong relationships with physicians and advanced practice providers throughout the licensing process

  • Serve as the provider's primary licensing resource and point of contact

  • Make a complicated licensing process feel organized, manageable and easy to understand

  • Anticipate provider questions and communicate proactively rather than waiting for issues to arise

  • Maintain urgency and consistent follow-through while delivering a professional and positive experience

  • Help keep providers engaged and responsive throughout what can sometimes be a lengthy licensing process

  • Take ownership of each licensing file and drive it toward completion

Communication & Coordination
  • Maintain strong communication with recruiters, credentialing, compliance, operations and healthcare providers

  • Provide clear and timely licensing updates to recruiters and internal teams

  • Communicate anticipated timelines and potential barriers that could impact a provider's start date

  • Coordinate closely with credentialing teams to ensure licensing and credentialing processes remain aligned

  • Escalate complex licensing issues when additional support or leadership involvement is needed

  • Document provider communication, licensing activity and application progress accurately within internal systems

Qualifications
  • High School Diploma or GED required

  • Previous healthcare licensing, credentialing, compliance or provider onboarding experience preferred

  • Previous experience within locum tenens, physician staffing or healthcare staffing strongly preferred

  • Experience working with physician or advanced practice provider licensing is highly preferred

  • Familiarity with state medical boards and healthcare licensing processes preferred

  • Experience managing multiple provider files, applications or cases simultaneously

  • Exceptional attention to detail and organizational skills

  • Strong follow-up skills with the ability to manage long-running processes without losing momentum

  • Ability to prioritize competing deadlines in a fast-paced environment

  • Strong written and verbal communication skills

  • Comfortable communicating directly with physicians, advanced practice providers and regulatory agencies

  • Strong customer service mindset with the ability to provide a high-touch provider experience

  • Strong problem-solving skills and ability to independently research licensing requirements

  • Proficient in Microsoft Outlook, Excel and Word

  • Strong computer skills and ability to quickly learn licensing, credentialing and internal systems

  • Positive, persistent and team-oriented approach

  • Ability to take ownership of a process and consistently drive it across the finish line
