Typical Day in the Life
A typical day as an Administrative Assistant may include:
- Provide administrative and operational support to Healthcare Consulting, and CAS leadership and team members to promote efficiency, organization, and exceptional client service.
- Prepare, proofread, format, distribute, and track proposals, Statements of Work, engagement documents, reports, correspondence, and client deliverables.
- Coordinate client and internal meetings, including scheduling, invitations, recurring meetings, agenda support, and follow-up communication.
- Assist with client onboarding, document collection, new client setup, project tracking, workflow management, due-date reporting, and maintaining accurate records within firm systems.
- Support seasonal and year-end activities, including 1099 administration and other client service needs.
- Assist with financial administration, including expense reports, WIP monitoring, and operational reporting.
- Support leadership with resource planning, workload management, deadline tracking, employee onboarding and offboarding, process improvements, and special projects.
- Maintain department resources, document libraries, learning records, registrations, memberships, subscriptions, publications, and software licensing requests.
- Monitor healthcare industry communications and regulatory resources and help maintain department knowledge repositories.
- Assist with client setup, opportunity management, compliance documentation, and data integrity within firm systems.
- Utilize, document management, CRM, billing, and workflow systems to complete administrative responsibilities.
- Collaborate with team members and provide backup and overflow support to other departments as needed.
- Provide backup reception coverage and assist with Fargo office operations, including stocking beverage areas, cleaning coffee machines, and assisting with facility needs.
- Complete assigned projects accurately and on time while meeting established budgets, turnaround times, and deadlines.
- Maintain regular, predictable in-office attendance and work overtime as needed.
Who You Are
- A high school diploma and at least two years of administrative support, project coordination, office management, or client service experience.
- Experience supporting professional services, healthcare consulting, accounting, advisory, or similar teams is preferred.
- Strong organizational, prioritization, time-management, and multitasking skills.
- Excellent written and verbal communication skills with strong attention to detail and accuracy.
- Proficiency in Microsoft Office 365 applications, including Outlook, Teams, Word, Excel, and PowerPoint.
- Experience with DocuSign, Adobe Acrobat, document management, project management, CRM, billing, or workflow systems is preferred.
- Experience with Power BI or QuickBooks is a plus.
- The ability to maintain confidentiality and exercise sound professional judgment.
- The ability to work independently while also collaborating effectively as part of a team.
- The ability to manage changing priorities and meet established deadlines.
- The ability to work overtime as needed.
- The ability to sit or stand for extended periods, bend, stoop, stretch, and lift up to 20 pounds.
