Sample & Merchandising Coordinator

We're seeking a highly organized and detail-oriented Sample & Merchandising Coordinator to support seasonal product flows and keep sample operations running smoothly. This role will work closely with merchandising and brand teams to coordinate sample arrivals, maintain accurate records, communicate updates, and support a variety of product-related projects.


What You'll Do

  • Coordinate the timely receipt of product samples for each seasonal flow.
  • Track sample arrivals, delays, and receiving information while maintaining accurate records.
  • Keep samples organized and ensure product information is easy for the team to access.
  • Partner with merchandising teams to communicate sample status, expected arrivals, and delays.
  • Build strong working relationships with brand and cross-functional partners.
  • Compile product copy and fact sheets using information from multiple systems and sources.
  • Maintain organized tracking documents, spreadsheets, and product records.
  • Provide day-to-day operational support to the broader merchandising/product team.
  • Assist with special projects and other administrative or coordination needs as assigned.
  • Proactively follow up on missing, delayed, or incomplete information to help keep seasonal timelines on track.


What You'll Bring

  • Experience in sample coordination, merchandising, product coordination, product development, or a related operational role.
  • Strong organizational skills and exceptional attention to detail.
  • Experience tracking physical products, samples, inventory, or product information.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong communication and follow-up skills with the ability to work effectively across teams.
  • Comfortable working with spreadsheets, databases, and multiple business systems.
  • Ability to identify issues, communicate them proactively, and follow through to resolution.
  • A collaborative, self-directed approach with a willingness to support broader team initiatives.


Preferred Qualifications

  • Experience in apparel, footwear, accessories, fashion, retail, consumer products, or product development.
  • Experience supporting seasonal product calendars or development cycles.
  • Familiarity with PLM, ERP, merchandising, product lifecycle, or sample-tracking systems.
  • Strong Excel or spreadsheet skills.
  • Experience creating product documentation, fact sheets, or product information materials.
  • Bachelor's degree in merchandising, fashion, business, product development, or a related field is a plus.
