Bid & Proposal Coordinator

World Fuel is a global leader in energy, fuel, and sustainability solutions, serving customers across aviation, marine, land, and government markets. We're looking for a highly organized and proactive Bid & Proposal Coordinator to support our North American Land business. This role serves as the central point of coordination for competitive bids, proposals, and customer opportunities, helping cross-functional teams deliver accurate, compliant, and timely submissions. This is a great opportunity for someone with a background in project coordination, proposal management, contract administration, change management, sales operations, procurement, or project support who enjoys bringing structure to complex processes and working with a wide variety of stakeholders.
Compensation: $65,000 - $78,000 annually, depending on experience, skills, qualifications, and geographic location. Target Compensation: The anticipated hiring target for this position is approximately $72,000 annually, plus a 10% annual bonus opportunity. In addition, World Fuel offers a comprehensive benefits package.
What You'll Do
- Coordinate the end-to-end bid and proposal process for commercial, industrial, and government opportunities
- Manage timelines, deliverables, and submission schedules to ensure deadlines are met
- Serve as the primary point of coordination across Sales, Supply, Transportation, Finance, Legal, Operations, and other business partners
- Gather, organize, and track information needed for customer proposals and bid submissions
- Review bid requirements and ensure submissions are accurate, complete, and compliant
- Prepare, edit, organize, and maintain proposal documents and supporting materials
- Support contract administration and related documentation requirements
- Help identify process improvements that increase efficiency, consistency, and submission quality
- Maintain organized records, tracking tools, and proposal libraries
What We're Looking For
Required Qualifications
- 3-5 years of experience in proposal management, project coordination, contract administration, project management, change management, sales operations, procurement coordination, or a related role
- Strong organizational and project management skills
- Ability to manage multiple deadlines and competing priorities simultaneously
- Experience coordinating activities across multiple teams and stakeholders
- Proven ability to influence and drive progress without direct authority
- Exceptional attention to detail and commitment to accuracy
- Strong written, verbal, and interpersonal communication skills
- Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and
- Outlook
Preferred Qualifications
- Experience supporting proposals, bids, RFPs, RFQs, or contract processes
- Experience supporting government, commercial, industrial, or public-sector opportunities
- Experience in energy, fuel, logistics, transportation, engineering, construction, or related industries
- Familiarity with proposal management, contract administration, procurement, or project management tools

Compensation & Benefits
Compensation: $75,000 - $85,000 annually, depending on experience, skills, qualifications, and geographic location. This position may also be eligible for an annual bonus and a comprehensive benefits package #WFS #LI-TB1
