Job Title: Grants Officer

Location(s): San Francisco, CA
(Hybrid: 2 days/week onsite)

Position Overview
Seeking an experienced Pre-Award Research Administrator with strong expertise in budget development and proposal submission. The ideal candidate will have substantial experience working with federal sponsors, particularly National Institutes of Health (NIH) applications.

This position supports complex research administration activities involving proposal development, budget preparation, compliance review, contracts and grants administration, financial analysis, and subaward management.

Key Responsibilities

  • Develop and review complex research proposal budgets, including task budgets, option years, multiple investigators, and multiple subawards.
  • Coordinate and support preparation and submission of federal and non-federal grant and contract proposals.
  • Review proposals for institutional, sponsor, regulatory, and policy compliance.
  • Support pre-award activities involving federal, state, local, and private sponsors.
  • Analyze complex financial and administrative requirements associated with grants, contracts, and subcontracts.
  • Interpret and apply federal regulations, sponsor guidelines, institutional policies, and cost principles.
  • Manage a high volume of complex transactions independently.
  • Perform complex financial analysis, budget forecasting, and customized reporting.
  • Review and guide less-experienced staff on financial and administrative requirements.
  • Support contract, grant, and subcontract issuance and administration.
  • Monitor compliance with award terms and conditions.
  • Analyze research funding trends, sources, portfolios, and financial requirements.
  • Communicate policies, procedures, requirements, and recommendations to faculty, staff, and other stakeholders.
  • Provide high-quality customer service while maintaining regulatory and institutional compliance.
  • Work collaboratively with research administration teams, faculty, departments, and other institutional units.
  • May exercise delegated signature authority and review/sign transactions for less-experienced staff.
Required Knowledge & Skills
  • Extensive knowledge of federal and non-federal research administration guidelines.
  • Strong understanding of research administration within a university or academic research environment.
  • Advanced knowledge of compliance requirements involving:
    • Human and animal subjects
    • Financial conflict of interest
    • Biosafety
    • Federal and institutional research compliance
  • Strong knowledge of federal regulations and applicable cost principles.
  • Advanced Excel skills, particularly for complex budget development, projections, and financial analysis.
  • Experience with Microsoft Excel, Word, Outlook, and Adobe Acrobat.
  • Ability to analyze complex and ambiguous situations and develop practical, compliant solutions.
  • Strong organizational, analytical, problem-solving, and decision-making skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal, leadership, diplomacy, and customer-service skills.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Ability to work independently with minimal supervision.
  • Ability to collaborate effectively within a team environment.
  • Ability to learn new research administration systems quickly.
  • Willingness and ability to complete required research administration training.
Preferred Experience
  • Experience supporting NIH grant applications and other federal sponsors.
  • Experience with university research administration processes.
  • Experience working with faculty and research investigators.
  • Familiarity with electronic research administration systems such as:
    • eProposal
    • Proposal Express
    • Grants.gov
    • Other electronic grant/proposal management systems
  • Experience handling highly complex proposals involving multiple investigators, subawards, task budgets, and option years.
  • Experience with delegated authority or senior-level research administration responsibilities.
Education
  • Bachelor's degree in a related area and/or equivalent experience and training.
Ideal Candidate Profile
The strongest candidates will have senior-level pre-award research administration experience, particularly in an academic or university setting, with demonstrated expertise in NIH/federal proposal submission, complex budget development, compliance interpretation, and high-volume grant and contract transactions.

Schedule:

  • Monday-Friday, 8:00 AM-5:00 PM
