As a Facilities Documentation Coordinator, you'll help bring important facility information into one organized, easy-to-access place so teams can find what they need, when they need it.

What you'll do

In this role, you'll take ownership of collecting, organizing, digitizing, and maintaining facility-related documentation. You'll play an important part in building a clear, reliable repository for records such as floor plans, equipment inventories, warranty information, operating manuals, vendor documentation, and other facility materials.

Day to day, you'll:

  • Gather documentation from shared drives, local files, vendors, and physical records, then organize it by site, building, and asset type.

  • Scan, index, label, and quality-check paper records so they become searchable and easy to retrieve.

  • Identify missing, duplicate, or outdated documents and coordinate with internal partners to keep records accurate and complete.

Beyond that, your work will help improve how facility information is stored, maintained, and used by creating consistent naming conventions, a summary index or directory structure, and practical documentation standards for future access.

What you bring

We're looking for someone who is highly organized, detail-oriented, and comfortable managing information across multiple sources. You'll be successful in this role if you can work independently, stay focused on accuracy, and create systems that make information easier for others to find and use.

This role is a great fit if you have:

Required Experience:

  • Experience working with electronic filing systems, document repositories, or records management processes.

Required Skills:

  • Strong organization and document management skills, including the ability to collect, catalog, archive, and maintain large volumes of records.

  • Proficiency with Microsoft Office applications and collaboration tools, including Excel, SharePoint, OneDrive, and Teams.

  • Ability to scan, index, label, and quality-check documents so records are complete, legible, searchable, and easy to retrieve.

  • Strong attention to detail and commitment to data accuracy, consistency, confidentiality, and secure handling of sensitive facility information.

  • Ability to work independently with minimal supervision while providing clear updates on progress and completion status.

Education/Certifications:

  • High school diploma or equivalent required.

You should also be comfortable working with both physical records and digital document management systems while creating structure where information may currently be incomplete, duplicated, or stored in different places.

  • Familiarity with building floor plans, equipment documentation, asset records, or maintenance documentation.
