Job Description

The School of Social Work, Psychological and Brain Sciences seeks a highly organized and service-oriented Business Support Specialist II to support the School's financial, operational, and administrative functions. This position plays an important role in supporting the School's academic mission by ensuring effective business operations, financial stewardship, and exceptional service to faculty, staff, students, and alumni.

Requires a positive, responsible, proactive individual with strong interpersonal skills. This is a wonderful opportunity to work in an enriching academic setting where duties vary day to-day. Requires a proactive, detail-oriented person with excellent communication skills and who enjoys working with staff, students, and faculty to accomplish projects.

Key Responsibilities

Financial & Business Operations

  • Assist the Business Manager, Dean, and Associate Dean with business, fiscal, and operational administration.
  • Support the processing, tracking, and reconciliation of budgets, grants, contracts, purchasing, billing, travel, and other financial transactions.
  • Monitor expenditures and identify budget variances, escalating concerns and recommending corrective actions as appropriate.
  • Ensure accurate coding and documentation of financial transactions within university systems.
  • Establish and maintain departmental record-keeping and internal account management systems.

Payroll & Human Resources Support

  • Coordinate and process routine payroll actions in accordance with University policies and procedures.
  • Support hiring, on-boarding, and personnel-related administrative processes for part-time employees.
  • Review personnel and payroll actions for authorization, compliance, and budget impact.

Administrative Operations & Customer Service

  • Serve as a primary administrative resource for faculty, staff, students, and external stakeholders.
  • Act as a liaison between the School and campus departments to resolve operational and administrative matters.
  • Perform complex administrative assignments requiring initiative, discretion, and independent judgment.
  • Other duties as assigned.

Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Proficiency with Microsoft Office Suite, particularly Excel
  • Excellent written and oral skills
  • Excellent attention to detail and problem-solving skills
Anticipated Hiring Range

$19.00-20.50/hour
