The Human Resources Generalist (Talent Acquisition & Management) manages recruiting administration, onboarding, immigration process coordination, learning management system administration, I-9 and E-Verify compliance, government reporting, employee relations, records management oversight, and assigned HR business support for Rigaku Americas Holding.

This role partners with hiring managers, employees, candidates, HR leadership, immigration counsel, training stakeholders, and business leaders to support the full talent lifecycle. The role requires strong organization, clear communication, good judgment, data accuracy, confidentiality, and the ability to manage multiple HR processes while providing responsive support to employees and managers.


Essential Functions

  • Assist managers and HR leadership with the development, review, and maintenance of job descriptions that accurately reflect role purpose, essential functions, qualifications, scope, and level.
  • Post and manage all open roles across approved recruiting channels, ensuring postings are accurate, timely, compliant, and aligned with the approved recruiting strategy.
  • Manage the recruitment process and role-specific recruiting strategy, including intake coordination, candidate pipeline tracking, interview scheduling, candidate communications, disposition tracking, offer process support, and hiring manager follow-up.
  • Coordinate with hiring managers and HR leadership to evaluate recruiting progress, identify process gaps, improve candidate flow, and maintain a consistent candidate and manager experience.
  • Manage the onboarding process for new hires, including pre-employment coordination, onboarding communications, required documentation, Workday updates, orientation support, and internal partner follow-up.
  • Create and maintain personnel files during recruitment and onboarding, including required new hire documentation, offer and onboarding records, employment eligibility documentation routing, and related confidential HR records.
  • Administer the learning management system, including training assignments, course records, completion tracking, reporting, user support, and coordination with internal training stakeholders.
  • Manage I-9 and E-Verify compliance, including completion tracking, E-Verify case management, reverification, documentation quality checks, I-9 file management, audit readiness, and employee/manager follow-up.
  • Serve as the primary liaison with immigration counsel for visa and work authorization case coordination, documentation tracking, employee communications, status follow-up, and internal stakeholder updates.
  • Coordinate required government reporting and related HR compliance data needs, including AAP support, VETS-4212 reporting support, data collection, validation, submission support, record retention, and follow-up with HR leadership or legal partners as needed.
  • Manage labor law poster compliance for all company locations and remote workers, including required postings, electronic posting resources, vendor coordination, updates, and documentation of compliance activity.
  • Provide employee relations support by responding to routine employee and manager questions, documenting matters appropriately, escalating concerns when needed, and supporting consistent application of HR policies.
  • Provide HR business support for Applied Rigaku Technologies (ART), Newton Scientific (NS/NSI), and Rigaku Innovative Technologies (RIT), including manager support, employee support, reporting, policy rollout assistance, talent process coordination, and assigned HR projects.
  • Provide oversight of HR records management, including file organization, retention tracking, audit support, secure storage, and destruction of records in accordance with company process and applicable retention requirements.
  • Maintain recruiting, onboarding, immigration, I-9, E-Verify, LMS, government reporting, employee support, and compliance documentation, including SOPs, trackers, audit checks, and process calendars.
  • Prepare regular and ad hoc reports by retrieving data from Workday, recruiting tools, LMS platforms, and other HR systems, then organizing and validating information for HR leadership and business partners.
  • Support additional HR operations priorities and other duties as assigned.

Skills and Abilities Required
  • Bachelor's degree in Human Resources, Business Administration, Psychology, Communications, or a related field, or an equivalent combination of education and experience.
  • 3+ years of HR operations, recruiting coordination, talent acquisition, onboarding, training administration, immigration coordination, or closely related HR generalist experience.
  • Experience supporting recruiting workflows, job postings, candidate communications, onboarding activities, and employee documentation.
  • Working knowledge of I-9 compliance, employee records, HR reporting, and confidential HR data handling.
  • Experience creating or maintaining personnel files, onboarding records, I-9 files, and confidential HR compliance documentation.
  • Working knowledge of E-Verify, AAP support, VETS-4212 support, labor law poster coordination, records retention, or related HR compliance processes.
  • Experience using an HRIS, applicant tracking system, LMS, or related employee data platform; Workday experience is strongly preferred.
  • Strong Microsoft Office and Excel skills, including the ability to track, validate, organize, and report HR data.

Preferred
  • Experience coordinating immigration processes with external immigration counsel.
  • Experience administering an LMS and tracking required training completion.
  • Experience supporting AAP administration, VETS-4212 reporting, labor law poster compliance, or HR records retention and destruction processes.
  • Experience preparing or supporting government reporting, EEO, affirmative action, VETS, or similar HR compliance data requests.
  • SHRM-CP, PHR, or HR compliance-related certification.

Physical Demands

High frequency of computer use, including keyboarding and viewing a computer monitor for extended periods. Occasional standing, walking, bending, reaching, and lifting of office materials up to 15 pounds may be required.


Work Environment

This role is performed in a typical office setting with standard computer and office equipment. The environment is generally quiet, with occasional collaboration or open-office disruptions.
