About you

You are a highly organized, proactive professional who thrives in a fast-paced, client-focused environment. As a Senior Client Services Coordinator, you play a critical role in supporting one or more brokers by delivering exceptional administrative, project management, marketing, and client service support.

You excel at managing multiple priorities, coordinating complex projects, and ensuring that every detail is executed with accuracy and professionalism. From preparing compelling presentations and listing materials to coordinating marketing initiatives and supporting client relationships, you are a trusted partner who helps drive business success.

The ideal candidate is resourceful, service-oriented, and collaborative, with strong communication skills and a passion for providing a seamless experience for both internal and external clients. You take ownership of your work, anticipate needs before they arise, and consistently deliver high-quality results in a dynamic, deadline-driven environment.

In this role, you will...

  • Coordinate with brokers to schedule and prepare for in-office meetings

  • Support brokers and sales assistants with listing inquiries and day-to-day activities.

  • Assist in preparing listing pitches, presentations, and marketing materials.

  • Assist with incoming calls and provide responsive client service.

  • Prioritize and coordinate multiple projects and deadlines across the team.

  • Maintain databases, records, correspondence, and client activity reports.

  • Provide administrative support, including file management, invoicing, and office coordination.

  • Draft, edit, and proofread legal, marketing, and business documents.

  • Execute marketing campaigns, maintain distribution lists, and track campaign performance.

  • Create presentations, reports, charts, graphs, surveys, and market analyses.

  • Maintain property listings and transaction information across various platforms.

  • Partner with internal teams to gather research, property data, and financial information.

  • Coordinate market reports, comparable analyses, and other research activities.

  • Manage the planning and execution of internal and external events.

What you'll bring

  • Bachelor's degree in Business, Marketing or related field

  • 1-3+ years of experience in commercial real estate, professional services, marketing, or a related field.

  • Intermediate to advanced proficiency with Adobe Creative Suite 4: InDesign, Photoshop, Illustrator and Acrobat

  • Intermediate to advanced proficiency with Microsoft Office Suite

  • Exceptional customer service, organizational and prioritization skills

  • Ability to work under pressure, deal with multiple deadlines, effectively handles stressful situations, and work with minimal direction/supervision

  • Excellent communication (follow-through and follow-up) skills, and ability to meet commitments and deadlines

  • Ability to solve problems involving several options in situations

  • High degree of professionalism and passion for success

  • Self-starter and team player with a strong attention to detail
