JOB SUMMARY DESCRIPTION

The Retail Real Estate & Leasing Manager is responsible for leading the strategy, negotiation, and administration of a national retail office lease portfolio consisting of more than 350 locations. This role oversees the full real estate transaction lifecycle, including site selection, lease negotiations, renewals, relocations, and terminations, with a focus on optimizing occupancy costs and aligning real estate decisions with business objectives. The position regularly engages with executive leadership to provide insights, recommendations, and updates on portfolio performance and serves as a strategic advisor to regional leadership on leasing decisions and portfolio strategy. The role also supports real estate capital planning initiatives and partners with internal stakeholders to ensure effective execution of portfolio strategies.


JOB RESPONSIBILITIES

Manage lease administration processes for a portfolio of 350+ retail office leases, including lease preparation through execution.



  • Proactively identify and monitor key lease dates, including renewals, options, tenant improvement (TI) allowances, security deposit returns, and other contractual obligations (e.g., SNDAs and estoppels).
  • Ensure data integrity within lease database systems by accurately abstracting leases, maintaining records, and conducting audits to support accuracy, compliance, and cost effectiveness.
  • Serve as the primary liaison with landlords and property managers to resolve issues, negotiate concessions, reconcile accounts, and facilitate payment adjustments, including the collection of tenant improvement allowances.
  • Lead negotiations for leases, Letters of Intent (LOIs), renewals, extensions, assignments, and terminations to achieve favorable economic and operational outcomes.
  • Act as a strategic advisor to Regional Directors and field leadership by providing guidance on lease renewals, new site openings, relocations, and terminations, including timing, market conditions, and financial implications.
  • Partner with regional leadership to evaluate alternatives and recommend leasing strategies that align with operational needs and financial goals.
  • Coordinate new lease setup activities, including vendor payment onboarding, contact management, insurance certificate tracking, and lease database updates.
  • Review and reconcile annual Common Area Maintenance (CAM), property tax, and insurance invoices to ensure accuracy and identify cost recovery opportunities.
  • Review and approve utility and maintenance invoices, ensuring proper coding and alignment with lease terms.
  • Draft lease correspondence and formal notices to address and resolve landlord-tenant issues, including payment disputes and maintenance responsibilities.
  • Prepare and present portfolio reporting, lease metrics, and strategic recommendations to executive leadership in a clear and concise manner.
  • Conduct market research and analysis to support new site selection decisions, providing recommendations related to location strategy, demographic trends, and competitive positioning.
  • Collaborate closely with Legal, Finance, Operations, Construction, and other cross-functional partners to ensure alignment, compliance, and successful execution throughout the real estate lifecycle.
  • Support acquisitions, dispositions, and other special real estate transactions as needed.
  • Manage relocation and refresh planning activities, including strategy development, budgeting, and execution.
  • Partner with facilities teams and cross-functional stakeholders to support departmental priorities, operational effectiveness, and continuous improvement initiatives.
  • Perform other duties and responsibilities as assigned.


JOB REQUIREMENTS

Minimum Education, Certification and Experience Requirements

Education (i.e., 4-year college degree, license, certification)



  • Bachelor's degree in Business, Real Estate, Finance, or a related field preferred; or equivalent combination of education and relevant experience.



Experience (i.e., years of work experience related to the job)



  • 2+ years of commercial real estate experience with a focus on lease negotiation and portfolio management.
  • Experience managing multi-site retail lease portfolios preferred.
  • 3+ years of professional business, administrative, or corporate support experience.
  • Demonstrated experience with commercial leases, including LOIs, lease language, tenant improvement structures, and industry best practices.



Knowledge / Technical Requirements



  • Strong understanding of commercial lease structures, negotiation strategies, and real estate financial concepts.
  • Experience with lease management systems, database platforms, and lease abstracting.
  • Ability to interpret lease language and assess financial and operational impacts.
  • Experience in Microsoft Office suite of applications, and the ability to learn additional systems and applications.

  • Detail-oriented and highly organized with strong prioritization and project management skills.



Salary and Other Compensation:

The target base pay range for this position is between $105,000-$120,000 annually. Starting pay within the range may be influenced by several factors, including location, market conditions, relevant skills, education, experience, and overall qualifications of the selected candidate.

In addition to the base salary, this position is eligible for an annual incentive plan, with payouts made monthly based on performance goals set by Sales Leadership. Incentive earnings are tied to goal achievement and performance milestones. There is no guarantee of payout.
