Position Summary

The Executive Operations Manager serves as a force multiplier to the Vice President of Operations, ensuring strategic priorities, customer deliverables, executive actions, and operational initiatives are executed with precision and accountability.

This role acts as the connective tissue across Programs, Contracts, Finance, Recruiting, and Corporate Operations, translating executive direction into measurable outcomes while maintaining visibility into commitments, risks, deadlines, and deliverables.

The successful candidate will proactively drive execution, maintain operational discipline, and ensure deliverables are executive-ready before reaching leadership for approval.

Key Responsibilities

Executive Operations & Leadership Support

  • Manage executive priorities, action items, and strategic initiatives on behalf of the VP of Operations.
  • Maintain executive action trackers, decision logs, and follow-up activities.
  • Coordinate leadership meetings, prepare agendas, capture decisions, and track actions through closure.
  • Prepare executive briefings, read-ahead materials, dashboards, and status summaries.

Deliverables Management & Quality Assurance

  • Own and maintain the enterprise deliverables calendar across all assigned programs and contracts.
  • Track customer deliverables, contractual requirements, corporate deliverables, and executive reporting requirements.
  • Coordinate inputs from Program Managers, Contracts, Finance, Recruiting, and Operations teams.
  • Conduct final quality assurance reviews for all deliverables, ensuring accuracy, completeness, compliance, formatting consistency, and executive readiness.
  • Ensure deliverables are submitted on time with minimal executive corrections required.

Strategic Initiative Management

  • Coordinate cross-functional initiatives supporting operational growth, process improvement, workforce planning, and organizational priorities.
  • Track milestones, dependencies, risks, and actions across strategic efforts.
  • Escalate risks and issues before they impact execution or customer commitments.
  • Develop and maintain implementation plans for executive-directed initiatives.

Operational Excellence

  • Identify process gaps, inefficiencies, and recurring execution challenges.
  • Recommend and implement process improvements that increase accountability, consistency, and operational performance.
  • Develop repeatable mechanisms for tracking commitments, deliverables, and organizational priorities.
  • Establish and maintain operational dashboards and reporting tools.

Program & Business Operations Support

  • Collaborate with Program Managers, Contracts, Finance, Recruiting, and Corporate Operations teams to ensure alignment and execution.
  • Support proposal operations during surge periods, including coordination, reviews, compliance tracking, and executive-level deliverable management.
  • Serve as backup Scrum Master and facilitator for designated teams and operational initiatives.

Qualifications

Required

  • Bachelor's degree or equivalent experience.
  • 5+ years supporting executive leadership, program operations, PMO functions, business operations, or strategic initiatives.
  • Exceptional organizational skills with demonstrated ability to manage multiple priorities simultaneously.
  • Strong written communication, editing, and quality assurance capabilities.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, and Project.
  • Experience coordinating cross-functional teams and managing deliverables.
  • U.S. Citizenship.

Preferred

  • Experience supporting government contracts and federal customers.
  • Experience with Agile methodologies and Scrum facilitation.
  • PMP, CAPM, Scrum Master, or related certification.
  • Experience supporting executive-level operations and strategic planning activities.
