Position Overview




Primary Purpose of Position
To provide administrative assistance/support to the Chairperson and other departmental leaders and faculty within the Department of Criminal Justice. The position will have primary responsibility for managing the calendars/schedules and travel arrangements for the Department administration. In addition, the position assists with departmental/program data collection, archiving, preparation of required departmental reports, studies and documents. The position is tasked with providing a high level of personalized service to the Department's customers (students, parents, faculty, community constituents, etc.) in-person and via telephone, email, and written correspondence. The position must have knowledge of the Department's academic mission/vision, curriculum objectives, business practices/procedures, etc., in order to efficiently manage the daily functions of the Department's main office.
Primary Function of Organizational Unit
The Department of Criminal Justice is housed within the College of Arts, Humanities and Social Sciences. It offers a Bachelor of Science degree in Criminal Justice and Criminal Justice with a Certificate in Crime Scene Investigation, a Master of Science and a Ph.D. with four areas of specialization, Digital Forensics, Investigative Science, Social Justice, and Research Methods. The Department has over 550 majors.
The College of Arts, Humanities, and Social Sciences houses the Departments of Criminal Justice, English, History and Political Science, Journalism and Mass Communication, Liberal Studies, and Visual and Performing Arts. CAHSS is an academic unit that reports to the Office of the Provost/Division of Academic Affairs and enrolls more than 2,000 students and has more than 200 faculty members.

Required Competency Knowledge - Program
Duties
The position will manage regular contact with the general public, students (majors and non-majors), faculty and persons internal & external to the Department/College/University. The position will have familiarity and knowledge of the Department and will be able to sufficiently address inquiries for information about the Criminal Justice program on campus and online including course descriptions and prerequisites, availability of scholarships and financial assistance or will be able to direct inquiries to the Chairperson, other departmental leaders, or faculty as appropriate.

The employee will assist students in regards to their matriculation through the Department by providing information regarding special opportunities (i.e., internship/scholarship availability, research prospects, career options, etc.) and assisting the chairperson and faculty with tracking/assessing student academic and/or research progress. Also, in conjunction with the position's required reporting assignments the employee will have some responsibility for reviewing student records, assisting faculty with registration by entering student courses, etc.

This employee serves as the department's administrative support associate. This employee will have primary responsibility for managing the workflow and business practices/procedures for department/program main office. Employee must demonstrate an in-depth knowledge of the Criminal Justice Department's organizational structure, functions, services, programs and office procedures and policies. In this role, the administrative support associate will assist the Chairperson in defining/refining the goals and objectives of the Department as enrollment trends dictate, and will assist the Chairperson in implementing said goals and objectives.

This position will independently manage all departmental projects related to administrative and programmatic operations for campus and online program. Additionally, the employee must have the experience and ability to manage special departmental projects, e.g., intercollegiate events and programs, endowed chairs/associated budgets, lecture series, etc. The position has primary supervisory responsibilities for the Department's student assistants/work-study students. These duties entail developing & overseeing work assignments, evaluating student performance, submitting electronic time approvals via the Banner Payroll system, and providing needed resources to complete designated research/work assignments as required/needed by the Chair and other departmental leaders.

The position will manage regular contact with the general public and students (majors and non-majors), as required/needed by the Chair and other departmental leaders. The position assists with supervision of the CIS, Cybercrime, and statistics lab research assistants.


Required Competency Information/Records Administration
Duties
The position as requested/needed will assist the department administration with preparing and finalizing reports, studies, etc., required by the College/University, as well as other external agencies as associated with the Department's political/judicial focus and analysis. In this role, the employee may be requested/required to assist the Department administration with the necessary research, data collection, and information analysis/reporting as appropriate.
This position shall manage, in conjunction with the Chairperson and other departmental leaders, new hire procedures for the Department. These procedures include generation of required new hire packages, and utilization of established EEO requirements/procedures. The employee must have or be able to acquire a working knowledge of the Banner system and will be responsible for the proper processing of all appropriate Department/University forms, including but not limited to: purchase requests/orders, travel and reimbursement forms, dual employment forms, change of grade/change of major forms, statements of standing, event forms, etc.
This position must have a working knowledge of the BANNER system and will manage the Department's budgets which shall include the tracking of expenditures, the processing of budget/purchasing paperwork and generating and processing travel paperwork. In addition, this position will be responsible for the proper processing of all appropriate Department/University forms, including but not limited to: purchase requests/orders, travel and reimbursement forms, budget revisions, employment forms, event forms, etc., that require the use of University-based platforms/systems such as Banner, AGGIE- MART, Emburse Enterprise for travel, AggieTalent, etc.
The position will manage the collection of data from Alumni and/or student surveys required for Department reports/proposals. In conjunction with the position's required reporting assignments, and in correlation to faculty assignments, the employee will have responsibility for reviewing student records, assisting with student registration, and on-line purchasing (i.e., equipment, vendor/contractual services, textbooks, etc.) needs through the University's online systems (Banner Student, Banner Finance, Bookstore textbook requisitioning, etc.).
As applicable, the position will have responsibility for assisting the Department administration and/or faculty with the preparation of grants and proposals, grant and contract financial documents and project reports to funding agencies.

Duties
The administrative support associate will have responsibility for managing the Department's file storage, control and access of academic, administrative and associated confidential faculty/student paperwork.

Duties
The employee will be able to interpret guidelines, answer inquiries and advise the Department administration & faculty as regards departmental/College/University processes, services and operations as applied to non-standard situations.

The administrative support associate also should be able to identify/recognize problems & issues that may impact the Department, and be able to work cooperatively with the Department administration and/or other College/University personnel to determine appropriate solutions.


Required Competency Communication - Verbal/Written
Duties
The administrative support associate will possess strong verbal and written communication skills, and be able to effectively relay information, processes/policies/procedures, and expectations to the Department's constituents (i.e., administrators, faculty, students, vendors/community representatives, other University personnel, etc.) via spoken & written means, which may include phone inquiries/directives, letters/memos, email/teleconferencing mediums, etc.
