THE OPPORTUNITY

Silvus is seeking an Administrative Assistant for Legal and Compliance who will report to the Director of Legal. The successful individual in this role provides dedicated administrative and operational support to the Director of Legal and the broader Legal and Compliance team, managing complex scheduling, travel, expenses, and cross-functional coordination in a fast-moving environment.

This position is based at Silvus Technologies' headquarters in the heart of vibrant West Los Angeles, CA, and is on a hybrid schedule. A minimum of 3 days onsite per week is expected. On-site days are Mondays, Wednesdays, and Thursdays.

The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.

ROLE AND RESPONSIBILITIES

  • Manage complex calendars and scheduling for the Director of Legal and other Legal and Compliance team members, including protecting time and minimizing scheduling friction.

  • Coordinate domestic and international travel, itineraries, and logistics for business trips, meetings, and external engagements.

  • Manage expense tracking, reconciliation, and administrative documentation with a high degree of accuracy.

  • Partner with internal and external stakeholders such as finance, engineering and vendors to support documentation, signatures (notary), and operational follow-through.

  • Handle a wide range of administrative and ad hoc support tasks, including stepping in wherever needed to keep day-to-day operations running smoothly.

  • Use all computer programs relevant to the position to support development of centralized contract repository, presentations, such as tracking and charting metrics data, and to perform data entry.

  • Perform other related duties of which the above are representative.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in business administration, communications, or a related field.

  • 3+ years of experience as an Administrative Assistant in a fast-paced, high-growth startup or similarly dynamic environment.

  • Highly responsive, resourceful, and quick to learn, with strong problem-solving skills and a demonstrated growth mindset.

  • Exceptionally detail-oriented and execution-focused, with the ability to deliver high-quality work and earn trust quickly.

  • Strong judgment and discretion, with the ability to operate independently while knowing when to escalate or seek input.

  • Maintain confidentiality with sensitive information.

  • Able to move quickly with a strong sense of urgency and ownership.

  • Advanced proficiency in Google Workspace applications

  • Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.

  • All employment is contingent upon the successful clearance of a background check and drug test.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Primary preferred qualification: Contracting and Document control - demonstrated ability to manage high-volume, detailed sensitive legal workflows.

  • Ability to maintain and manage schedules: Tracking obligations, expirations and compliance documentation.

  • Cross-functional Communication and Business Judgment: Communicate clearly and concisely with non-legal stakeholders.

  • Ability to triage requests, prioritize them based on business impact and exercise keen judgment to escalate issues appropriately.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Office environment.

  • Lift up to 20 lbs.

COMPENSATION: $31.25 - $36.06 / hourly

The pay range is NOT a guarantee. It is based on market research and peer data and will vary depending on the candidate's experience and qualifications.

NOTE - As a US Federal Contractor, Silvus Technologies requires that ALL candidates being considered for employment for any position (regardless of level) MUST be a U.S. Person (permanent resident or citizen). Stricter U.S. Citizen ONLY requirements (needed for some Engineering or R&D roles) will be included in the Required Qualifications section of the posted position. This does NOT apply to international positions; only job postings for positions located in the US.
