Job Summary

Administrative Clerk provides a variety of routine clerical, administrative and technical work in the administration of the Village Clerk. Position requires application of judgement in interpretation of municipal policies, procedures, regulations along with local and state laws. The majority of this position is providing exceptional customer service to the residents of the Village of Menomonee Falls.


Job Duties

  1. Greets and assists members of the public in person or by telephone.
  2. Monitors and responds to the general clerk services email.
  3. Processes cash receipting in BS&A along with accounts payables. Assists with other financial duties as assigned.
  4. Receives and processes park facility reservations and works with the department of public works to ensure facilities are prepared for reservations.
  5. Issues yard waste permits to residents.
  6. Issues dog licenses, maintains dog license database and files annual reports.
  7. Assists with election tasks including voter registration, absentee ballots, voting, election documentation, equipment preparation, data entry, maintenance in the states database WisVote, communication with care facilities and polling locations, poll worker database maintenance and other assigned election duties.
  8. Properly maintains documents for record retention, including scanning, filing and purging documents in accordance to the villages record retention schedule and Wisconsin law.
  9. Assists with record discovery for open record requests under the direction of the Village Clerk.
  10. Receives and processes municipal mail, sorts and disperses mail to all departments, meters mail and ensures mail is taken to the post office daily.
  11. Orders, takes inventory, stocks and organizes all supplies needed for the office.
  12. Organizes, cleans, and stocks main counter for all forms and documentation provided to residents.
  13. Maintains room calendars and schedules meetings as necessary.
  14. Assists the Clerk and Deputy Clerk with licenses, elections and other projects as assigned.
  15. Other clerical duties as assigned.

Essential Knowledge and Abilities
  1. Working knowledge of standard office equipment including telephones, fax machines, keyboards, copiers, printers, scanners, shredders, and department specific equipment.
  2. Ability to perform basic word processing, data entry and typing.
  3. Ability to establish and maintain effective, professional, positive and respectful working relationships wand communications internally, with outside agencies, and with the general public.
  4. Ability to work in stressful situations.
  5. Highly proficient Microsoft Office products, Outlook and ability to learn other programs as assigned.
  6. Ability to work with sensitive and confidential information.
  7. Working knowledge of modern office practices and procedures.
  8. Ability to work early/late-night hours as assigned for election day and occasional other necessities.


Minimum Qualifications

  1. High School diploma/GED.
  2. At least two-years of experience working in an office.
    1. Preferred: Experience working for a governmental entity and a general knowledge of municipal software systems.
    2. Preferred experience in Laserfiche, WisVote and Civic Systems (examples Civic Plus and Civic Engage).

Physical Requirements:

Position requires prolonged sitting in the performance of daily duties and frequent repetitive keyboarding motion for preparing reports and other documents. The position also requires walking and some standing and lifting of boxes. The equipment required to be used for this position includes a phone system,desktop computer,copymachine,faxmachine, andscanner.
