The Administrative Assistant, under general supervision, performs a variety of complex, responsible, and specialized administrative and office support functions. This position requires attention to detail and the ability to multi-task throughout the day.

This position will be a temporary position from May to August 15th.

Responsibilities of Position:



  • Follow up with legacy vendors in Ariba, to assure accurate contacts are being notified regarding completion of the onboarding forms
  • Track/Update the Ariba spreadsheet as follow up to the legacy vendors are being completed
  • Assist in providing any Ariba issues to the Procurement team, so that it can be corrected
  • Attend Ariba update meetings, related to any systems updates should there be an impact with legacy data
  • Perform all tasks in a safe and accurate manner in compliance with all local, state, and federal regulations and company policies
  • Create and maintain accurate records, database and spreadsheet files
  • Prepare reports, confidential correspondence and other documents as required (purchase orders, employee forms, inter-company billing, etc.)
  • Maintain inventory of office equipment/supplies
  • Screen incoming calls and correspondence and respond to request and/or contact the supervisor to relay the message
  • Perform other duties as assigned



Supervisory Responsibility:



  • This position will not manage employees



Skills & Abilities Needed for Position:



  • Excellent knowledge of office functions
  • Computer proficiency in Windows and Microsoft Office applications
  • Present and maintain a professional appearance and demeanor
  • Excellent customer service data entry skills
  • Must be organized and detailed-oriented with the ability to multitask



Physical Requirements in a Regular Workday:



  • Continuously lifting/carrying/pushing/pulling a max of 10 lbs
  • Rarely lifting/carrying/pushing/pulling a max of 20 lbs
  • Rarely working outside in changing temperatures, wet/humid conditions
  • Rarely working in areas of dust, odors, mist, gases, and other airborne matter
  • Rarely stooping/kneeling/crouching/crawling
  • Continuously sitting
  • Rarely standing/walking



Additional Working Conditions/Aspects:



  • Legally eligible to work in the United States
  • Valid driver's license (if applicable)
  • Must successfully complete pre-employment testing
  • Must be able to read and speak the English language
