The Pay Scale is $115,128 to $165,672

Position Summary

The Senior Executive Assistant to the President serves as a strategic partner and operational anchor for the Office of the President. This role goes beyond traditional administrative support, encompassing high-level coordination, executive communications, event strategy, and business process development. The Senior EA anticipates needs, manages complex priorities, and ensures seamless execution of the President's agenda across a large, mission-driven organization.

Responsibilities:

Executive Support & Calendar Management

  • Manages the President's complex calendar, travel, and meeting logistics with precision and discretion
  • Screens and prioritizes communications, ensuring timely and accurate information flow
  • Coordinates executive committee and board meeting logistics, including briefing materials and follow-ups

Communications & Writing

  • Drafts strategic emails and communications on behalf of the President and Chief of Staff
  • Prepares instructional and logistics-heavy messages for senior leadership retreats and system-wide initiatives
  • Writes and edits meeting minutes, reports, and executive summaries

Strategic Event Planning

  • Leads planning and execution of system-wide events such as Administrative Professionals Day (100+ attendees), retirement celebrations (150+), and multi-day senior leadership retreats
  • Collaborates cross-functionally to manage budgets, venues, communications, and post-event reporting

Operational Infrastructure

  • Develops and maintains SOPs, checklists, and playbooks to support the President's Office annual business cycle
  • Tracks progress on executive initiatives, KPIs, and feedback cycles (e.g., Coffee Chats, ALL IN feedback)

Digital Organization & Governance

  • Organizes digital assets and communications using Outlook, Teams, SharePoint, and Diligent
  • Maintains structured document repositories and contact databases to support executive workflows

Project Coordination & Follow-Through

  • Follows up on action items from system-wide meetings and ensures accountability across departments
  • Compiles data and prepares materials for executive decision-making

Requirements:

  • Bachelor's degree required; equivalent experience accepted
  • Minimum 5 years of high-level executive support experience, preferably in healthcare or nonprofit sectors
  • Exceptional writing, organizational, and project management skills
  • Proficiency in Microsoft Office, Teams, SharePoint, and enterprise communication platforms
  • Demonstrated ability to manage sensitive information with discretion and professionalism

Pay and Benefit Expectations

We provide a comprehensive benefits package, including competitive salary, medical, dental and retirement benefits and paid time off. As required by various pay transparency laws, we share a competitive range of compensation for candidates hired into each position. The pay scale is $115,128.00 - $165,672.00 USD. However, pay is influenced by factors specific to applicants, including but not limited to: skill set, level of experience, and certification(s) and/or education. If this position is associated with a union contract, pay will be reflective of the appropriate step on the pay scale to which the applicant's years of experience align.
