Overview

The Event Planner will be part of the Enterprise Marketing Team, reporting to the Senior Events Manager. The role is based out of the Salt Lake City Myriad offices this role plays a critical administrative and operational support function for the Events team, with a primary focus on internal meetings and behind-the-scenes execution that enables internal meetings, conferences and trade shows to run seamlessly.

This position is ideal for a highly organized, detail-oriented professional who excels at managing paperwork, logistics, and coordination, and who takes pride in delivering white-glove support to senior leaders and internal partners. While this is a support-oriented role, it offers meaningful exposure to enterprise-level events and the opportunity to grow within a best-in-class corporate events function.

Responsibilities

  • Provide core administrative and operational support for internal onsite meetings, conferences and trade shows, including managing documentation, contracts, approvals, and internal coordination with vendors, venues, and partners to keep events on track and compliant.
  • Deliver white-glove support that elevates the execution of internal meetings and events, anticipating needs and ensuring a polished, professional experience for attendees and stakeholders.
  • Coordinate all logistical aspects of internal meetings, including communications, speaker coordination, registration, hotel and transportation arrangements, meals and menus, giveaways, and gifts.
  • Support the full event lifecycle for internal meetings-from pre-planning and resource coordination to onsite execution and post-event follow-up-ensuring timelines, details, and deliverables are met.
  • Manage the tabletop program and inventory for regional and local meetings, including scheduling, shipping, receiving, storage, maintenance, and coordination with sales teams.
  • Build and maintain strong, collaborative relationships with internal partners, senior leaders, and external vendors, serving as a reliable and responsive point of contact.
  • Ensure all event and convention activities comply with association rules, company policies, and ethical and regulatory guidelines.
  • Provide onsite support as needed, including coordinating staff or temporary support, assigning duties, and offering general direction to ensure smooth execution.

Qualifications

  • Bachelor's degree preferred
  • 2-5 years of professional experience in administration, events, conventions, trade show experience, project management or planning, or related area.
  • Industry experience in biotech, medical device, pharma, or healthcare preferred
  • Strong interpersonal and communication skills with experience building and maintaining relationships
  • Excellent organizational and product management skills, including time management, and strong attention to detail
  • Proven experience in high-pressure, fast-paced environment with the ability to manage multiple conflicting priorities
  • Travel up to 15%, including nights and weekends as needed

Physical Requirements

Lifting Requirements - light work or exerting up to 30 pounds of force frequently. Physical Requirements - stationary positioning, moving, operating, ascending/descending, communicating, and observing. Use of equipment and tools necessary to perform essential job functions. Ability to travel 20%-40% of the time, frequently taking place over weekends.
