Job Description: Key Responsibilities Parts Handling and Distribution
- Receive, inspect, and verify incoming parts and supplies for accuracy, damage, and quantity.
- Distribute parts to technicians and job sites in a timely and organized manner.
- Manage parts returns, including coordinating with vendors or the purchasing department for credits or exchanges.
- Load and unload shipments using appropriate equipment and safe handling practices.
- Maintain clean, safe, and efficient storage and staging areas.
Inventory Control
- Maintain accurate parts inventory levels using E360 and CMIC software integrations.
- Support regular cycle counts and assist with year-end physical inventories.
- Verify buy list counts and store parts upon receipt according to established procedures.
- Organize, label, and track all inventory items to ensure quick accessibility and traceability.
- Assist in maintaining oil, lubricants, and other consumable inventories.
- Monitor inventory shelf life, restock levels, and reorder points.
Procurement Coordination
- Work closely with the Purchasing Department and dedicated Purchasing Agent to ensure accurate processing of non-stock part requisitions and purchase orders.
- Coordinate delivery schedules and ensure that parts are available to meet job timelines.
- Support vendor-managed inventory (VMI) programs and partnerships.
- Ensure all parts transactions follow company purchasing policies and authorization workflows.
- Assist in resolving order discrepancies, invoice issues, and vendor communications.
Administrative and Technical Support
- Maintain accurate documentation of receipts, distributions, and returns within the company's ERP and equipment management systems.
- Support foremen and technicians with locating parts, tracking backorders, and sourcing alternate solutions when needed.
- Communicate effectively with the Regional Parts Manager on parts room performance, inventory issues, and improvement opportunities.
- Assist with implementation and continuous improvement of parts processes, layouts, and workflows.
- Contribute to a culture of safety, organization, and operational excellence within the shop.
Qualifications and Requirements
- High school diploma or equivalent required; associate degree or technical coursework preferred.
- 2+ years of experience in parts, inventory, or warehouse coordination (construction, heavy equipment, or manufacturing experience preferred).
- Proficient with computer-based systems including Microsoft Office, CMIC, and/or E360.
- Ability to safely operate forklifts and material handling equipment (certification preferred).
- Strong attention to detail, organization, and time management.
- Excellent communication skills with internal teams, vendors, and purchasing staff.
- Demonstrated ability to work collaboratively in a fast-paced shop environment.
- Familiarity with equipment parts, components, and terminology preferred.
- Commitment to following company safety policies and maintaining a clean, efficient work environment.
- Valid Wisconsin driver's license with a clean driving record.
