Position Summary

This position will support a broad range of HR functions across the employee lifecycle - from talent acquisition and onboarding to employee relations, engagement, compliance, and offboarding This role serves as a key point of contact for employees and leaders, helping ensure HR policies and practices are applied consistently, employee questions are addressed promptly and professionally, and HR processes run efficiently and effectively.

In this position, you will help coordinate recruiting activities, maintain accurate HR records, support benefits and compensation administration, and assist with training and performance processes. You will also support employee relations efforts, including documentation, investigations support, and follow-up actions, while partnering with leadership to promote a respectful, inclusive and compliant workplace, The ideal candidate is organized, detail-oriented, comfortable handling confidential information, and able to balance day-to-day support with continuous process improvement.

Responsibilities

  • Serve as an initial point of contact for employee questions related to policies, workplace concerns, and HR procedures; respond or route appropriately while maintaining confidentiality.

  • Support employee relations matters such as attendance, conduct, performance concerns, and policy questions; ensure documentation is complete and stored appropriately.

  • Assist with workplace investigations (intake, fact gathering, interview scheduling, documentation, and follow-up actions) in coordination with HR leadership; maintain accurate records and timelines.

  • Help promote a positive employee experience through consistent communication, respectful interactions, and timely follow-through

  • Support employee engagement activities (surveys, events, recognition, communications) and summarize themes and recommendations.

  • Coordinate recruiting activities: job postings, candidate screening support, interview scheduling, candidate communications, and offer documentation.

  • Support hiring managers with interview logistics and consistent hiring practices; help ensure a professional candidate experience.

  • Participate in job fairs and community outreach events to represent the organization, share information about open roles, and support pipeline-building efforts.

  • Assist with pre-employment processes such as background checks, reference checks (as applicable), and offer/onboarding readiness.

  • Coordinate onboarding processes including new hire paperwork, orientation scheduling, system access requests, and first-day readiness.

  • Maintain accurate employee records, status changes, and required documentation in HR systems and personnel files (digital and/or paper).

  • Support offboarding processes including resignation documentation, exit checklists, benefits notifications, and exit interview coordination.

  • Draft, update, and distribute standard HR communications and templates (letters, memos, forms) as directed.

  • Coordinate training sessions (new hire orientation, compliance training, manager trainings) including scheduling, attendance tracking, and materials preparation.

  • Support performance management processes by tracking review cycles, distributing forms, monitoring completion, and maintaining documentation.

  • Assist in creating or updating training resources and guides to support employee and leader self-service.

  • Support benefits administration such as enrollments, changes, life events, and employee questions; coordinate with benefit vendors and brokers as needed.

  • Assist with compensation administration support, such as job/position data updates, compensation change documentation, and preparation of basic market or internal equity data (as directed).

  • Support payroll coordination by assisting employees with timekeeping questions, resolving data discrepancies, and ensuring HR data changes are communicated and documented on time.

  • Help ensure consistent application of workplace policies; support policy communications and acknowledgements.

  • Support compliance with employment-related laws and requirements (e.g., equal employment opportunity, leave administration support, record retention, required postings).

  • Assist with audits, reporting requests, and document collection related to compliance or internal reviews.

  • Maintain confidentiality and handle sensitive information with professionalism and discretion.

  • Identify opportunities to improve HR processes for accuracy, speed, and employee experience; help implement updates and track outcomes.

  • Prepare and maintain routine HR reports and dashboards ensuring data integrity.

  • Use HRIS and spreadsheets to reconcile information, track metrics, and support decision-making.

Qualifications

  • Education: University Degree(or international equivalent)
  • Minimum Experience: Minimum Experience to 2+ Years
  • Generally Reports To: Generally reports to HR Manager or Division HR Manager
  • Job Summary: With direct supervision, assists more senior HR professionals to coordinate and administer HR programs across the span of HR areas
  • Job Responsibilities: Posts positions to internal and external job search outlets; Accepts and conducts initial review of resumes; Some contact with applicants; Assists other HR team members in preparation for performance management and talent management cycle; Address routine questions by managers and employees; Assists in the coordination of local training; Coordination of corporate sponsored training; Training of development plans; Address well-defined questions by managers and employees; Assist other HR team members in preparing for merit review process
  • Ability to handle confidential information and sensitive situations with professionalism and sound judgement

  • Excellent verbal and written communication skills in both English and Spanish required

  • Proficiency with HRIS or HR Databased and strong computer skills including Microsoft Office (Excel, Word, Outlook)

  • Strong written and verbal communication skills, including the ability to communicate clearly with team members at all levels.

  • Working knowledge of policy compliance and fundamental employment laws

  • Ability to work on-site during standard business hours

  • Pay Range: $69500 to $115000 annually
  • Participation in Annual Incentive Program
