Description

Ste. Michelle Wine Estates (SMWE) is seeking a Regulatory Compliance Administrator to join our team in Woodinville, WA. This critical role will prepare and submit documents to state agencies and other governmental entities to apply for and renew state label registrations. As assigned, the Regulatory Compliance Administrator completes other compliance requirements of the Company.

NOTE: This is a part time role expected to work 20 hours per week.

Regulatory Compliance Administrator job responsibilities include:



  • Prepares and submits all paper and electronic applications for new, renewed, and revised state label registrations. Manages and tracks product label submittals in ~30 state to ensure timely action, monitors current registrations with respect to renewal deadlines, and carefully tracks all information on detailed spreadsheets and within online tracking systems.
  • Demonstrates initiative to contact agencies when applications are not approved in a timely manner and to react quickly when agencies require additional document preparation and submittal.
  • Informs supervisors and company officials if significant issues develop.
  • Represents the company in communications with regulatory agencies with respect to issues relating to state label registrations or other assigned tasks.
  • Ability to appropriately handle highly confidential company information and maintain consistency throughout documents submitted to agencies.
  • Manages files to ensure compliance with regulatory record-keeping requirements. Document scanning and filing is an integral job function.
  • Investigates internal customer and agency inquiries and responds in a timely manner.
  • Provides excellent customer service to internal clients and supports the department with projects and additional duties as assigned, including but not limited to licensing application submissions/renewals, surety bond submissions/renewals, etc.


Position Requirements:



  • Associate's or Bachelor's degree, or an equivalent combination of education and relevant professional certification.
  • Minimum of two (2) years of experience as a legal assistant or paralegal, preferably within a highly regulated industry.
  • Exceptional written and verbal communication skills, with the ability to communicate clearly and professionally across audiences.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Experience with ShipCompliant or similar tax and compliance software strongly preferred.
  • Proven ability to thrive in a fast-paced environment while managing frequent and shifting deadlines and priorities.
  • Strong organizational skills with demonstrated experience handling highly confidential and sensitive information.
  • Flexible and adaptable, with a willingness to take on new projects and responsibilities as business needs evolve.
  • Professional demeanor and ability to work effectively with domestic and international partners, regulatory agencies, and all levels of internal stakeholders.
  • Strong analytical and decision-making skills, with a high degree of accuracy and attention to detail.
  • Familiarity with governmental regulations within the beverage alcohol industry is highly desirable.
  • Ability to work independently while proactively asking questions and seeking clarification when appropriate.
  • Self-motivated individual with strong data entry skills, keen attention to detail, and excellent organizational, analytical, and communication abilities.
  • History of responsible use of alcohol and other appropriate conduct, as well as fitness to be licensed, permitted, and/or certified by state and/or local regulatory bodies.


Your Compensation:

$23.50 - $30.54 per hour based upon relevant experience.
