Description
The Project Coordinator provides administrative and operational support to the project team throughout the lifecycle of a project, from preconstruction through closeout. This position assists with coordinating project documentation, subcontractor communication, compliance tracking, and jobsite readiness to help ensure projects are organized, efficient, and executed successfully. The Project Coordinator plays a key role in supporting project operations so that projects meet quality, schedule, and financial objectives.

Key Responsibilities:
Construction Support
- Print and ship contract drawings and other required construction documents to the jobsite
- Coordinate site signage delivery to the jobsite
- Manage jobsite security process including coordinating required background checks
- Manage invoicing and resolve billing issues related to jobsite trailers (water, copiers, etc.)
- Perform compliance reviews related to MBE/CBE/SBE when applicable to project
- Track and assist with LEED documentation if applicable to project
- Manage project bonds and renewals
- Manage bonds and ensure renewals when applicable
- Gather and track subcontractor supplier and second-tier subcontractor documentation
- Assist with building, maintaining, and updating the Material Tracking Logs
- Assist with building and setting up the submittal register
- Process, package, and ship project related samples as required
- Upload design documents and related files to the project management system (Procore)
- Coordinate with Marketing to support Owner and Subcontractor events
- Schedule project meetings and record/distribute meeting minutes for project meetings including OAC meetings, kickoff meetings, and more
- Assist with managing payment requisitions
- Reviewing and approving lien releases and stored/onsite material requirements
- Subcontractor outreach to confirm or revise billing information
- Assist in preparing owner requisitions based on subcontractor requisitions
- Maintain project closeout log and assist with document tracking, follow through, and final assembly
Preconstruction Support
- Assist with bid coverage calls to support subcontractor outreach during bidding process
- Confirm SDI requirements with the preconstruction team
- Create and update templates for project documentation including welcome letters, Exhibit B documents, Exhibit C documents, and more.
- Prepare and process subcontracts and purchase orders via Docusign
- Track and follow up on subcontract and purchase order execution to ensure timely completion
- Send subcontractor welcome emails to initiate communication at the start of a project
- Track SDI renewals during the preconstruction process
- Request Certificates of Insurance (COIs) and Builder's Risk documentation from subcontractors
- Coordinate insurance documentation and follow up with insurance brokers as needed
- Coordinate jobsite readiness including initial trailer proposals, office supplies, copiers, water, cleaning crew schedule, site signage, and more.
Additional Support (As Needed)
- Manage Sitemetric enrollment and badging process for larger project sites
- Maintain materials testing and inspection reports, break logs, etc.
- Record and distribute meeting minutes for all project meetings
- Complete material takeoff and purchasing of misc. material as needed
Basic Qualifications:
- 1-4 years of experience in project administration, project coordination, or a related role (commercial construction experience preferred).
- Ability to work in a fast-paced environment while maintaining attention to detail and accuracy in documentation.
- Strong written and verbal communications skills
- Ability to assess and prioritize multiple tasks, projects, and demands.
- Excellent organizational and interpersonal skills.
- Trustworthy, self-motivated, passionate and dedicated to high-quality work.
- Ability to perform all duties in a digital/paperless environment.
Preferred Qualifications:
- Bachelor's Degree in Construction Management, Engineering, Business, or related field.
- Internship or professional experience supporting commercial construction projects.
- Experience using construction management software such as Procore, Bluebeam, or similar platforms.
Wage Transparency In accordance with the Maryland Wage Transparency Law, the base salary range for this position is: $65,000.00 - $75,000.00 Coakley & Williams Construction offers a comprehensive total compensation and benefits package that includes health, dental and vision coverage, employer-matched 401(k), paid time off and holidays, performance-based bonuses, wellness program, and other voluntary benefits and leave types. The determination of salary is based on the candidate's individual professional experience, qualifications, education, skills, and training. Job Demands Individuals should be able to reach above and below, stoop and bend, sit, walk and stand. Individuals should also be able to lift, carry and/or moving items up to 50lbs. May be exposed to heavy machinery/equipment, hazardous chemicals and extreme weather conditions. Minimum of 40 hours per week required. Works hours will vary depending on project specifications and may involve weekends and night work.
