Position Title: Corporate Administrative Assistant

Location: Houston, TX (Hybrid - Typically 3 days
on-site)

Classification: Non-Exempt, Hourly

Work Schedules: Monday - Friday, 9:00 AM - 5:30 PM
(7.5 hours per day; schedule is negotiable)

Summary

This role represents a global leader in the energy and natural
resources sector, offering a professional, stable, and team-oriented work
environment. They are seeking a reliable Administrative Assistant to manage the
daily operations of their Houston office. The office consists of approximately
30 professionals, including 20 international expatriate staff; the successful
candidate will feel comfortable and effective in this multicultural atmosphere.
The role offers a highly stable, long-term environment where the successful
candidate can focus on mastering a consistent set of daily operations. This
role is ideal for someone who finds satisfaction in maintaining organizational
excellence and is eager to expand their skillset beyond administrative but into
HR, IT, and Accounting support. While prior corporate administrative experience
is a strong plus, the team welcomes entry-level talent or professionals eager
to pivot into a corporate administrative career. Comprehensive on-the-job
training and a full handover will be provided by the current team member.

Essential Duties and Responsibilities include but are not limited
to:

Office Administration (75%)



  • Provide
    administrative support to ensure the efficient operation of the Houston
    office.
  • Coordinate company
    vehicle operations, including managing leasing agreements, insurance
    maintenance, and registration renewals.
  • Physically arrange
    the pickup and return of leased cars between dealerships and the office
    (requires a valid driver's license).
  • Assist in
    coordinating company events, holiday parties, employee engagement
    activities, and anniversary acknowledgments.
  • Support the
    creation of the annual company holiday calendar and communicate updates to
    the team.
  • Serve as the
    primary point of contact for building management and third-party vendors.
  • Manage and order
    office, kitchen, promotional, and emergency supplies.
  • Handle
    incoming/outgoing mail, packages, phone calls, and greet office visitors.
  • Coordinate
    maintenance for office furniture, equipment, and plants.
  • Manage office
    parking contracts and handle seasonal greeting cards, gifts, and
    donations.
  • Provide logistics
    support for visiting VIP executives (lodging, meals, and transportation).
  • Maintain and
    update the company directory and manage office security cards/keys.
  • Perform clerical
    duties (photocopying, scanning, printing) and general company errands as
    needed.


Administrative Support for Specialized Functions



  • Basic HR Support:
    Assist with onboarding preparation, benefits enrollment distribution, and
    updating office bulletin boards.
  • Basic IT Support:
    Act as the local point of contact for the New York-based IT Manager;
    assist with troubleshooting local devices or conference room equipment
    when requested.
  • Basic Accounting
    Support: Issue physical checks for payments, deposit incoming checks, and
    assist with managing employee corporate credit card accounts.
  • Asset Tracking:
    Conduct periodic fixed asset inventories to ensure accurate documentation
    of company property.



Qualifications



  • Fluency in English
    (reading, writing, and speaking).
  • Must demonstrate
    an active willingness to be flexible. While the role is primarily a 3-day
    hybrid model, candidates must be available to work on-site 4 days a week
    on occasions when administrative needs arise.
  • Ability to work
    effectively in a team-oriented environment with a high percentage of
    international/expatriate staff.
  • A dedicated
    professional who enjoys a stable, consistent role and is comfortable
    becoming an expert in administrative functions.
  • A proactive,
    "can-do" attitude toward supporting broad business functions
    such as HR, IT, and Accounting as part of their daily responsibilities.



Required



  • Valid Texas
    driver's license with a clean record (required for occasional errands and
    vehicle transport).
  • Proficiency in
    Windows OS and MS Office (Word, Excel, Outlook).
  • Ability to
    occasionally lift/move up to 20 pounds.


Preferred




  • Associate degree
    or higher.
  • One (1) year of
    experience in office administration (preferred, but no prior HR, IT, or
    Accounting experience is necessary).
