Job Summary
Under minimal supervision, provides administrative support for the Environmental Services Department. Maintains calendars, schedules interviews, telephone conferences and meetings upon request. Makes travel assignments, schedules, interdepartmental rounds and on-site events. Performs clerical duties such as word processing, entering data for reports, preparing PowerPoint presentations, maintaining departmental files, and other similar duties. Attends committee meetings, takes minutes and produces minutes in draft and final form. Assists in providing customer service to patients and families that have concerns. Assists in record keeping and general operations of the office.
Essential Functions:
- Schedules meetings, teleconferences, special event activities, and staff meetings. (15%)
- Reserves conference rooms and makes audio-visual equipment arrangements as appropriate. (15%)
- Maintains department employee files and ensures they are up-to-date and contain all appropriate documents per HR policies. Serves as the department documentation source for regulatory materials for agencies such as CMMS, the State, and TJC. (15%)
- Assists in annual evaluations to ensure that all documents and associated trainings are done on time. (15%)
- Collects and enters data in spreadsheets and databases for monthly reports, including patient rounding, AIDET audits, and UV light compliance. Completes typed projects on time. (10%)
- Performs data entry in Excel, Word, Share Point and other systems, and is responsible for coordinating and processing vendors' invoices as needed. (10%)
- Prepares purchase orders and payment requests according to purchasing and accounts payable policies and procedures. (10%)
- Prepares PowerPoint presentations, graphics and charts as needed. (10%)
Education:
- High School Diploma or GED Required
Work Experience:
- 4-6 years Clerical or Administrative Assistant Required
- 1-3 years EVS knowledge Required
Knowledge, Skills and Abilities:
- Ability to prioritize and perform a multitude of duties.
- Must be able to communicate efficiently and effectively and have excellent organization and communication skills.
- Excellent multi-tasking, troubleshooting and problem solving skills.
- Excellent customer service skills.

Salary $22.79 - $31.91 / hr
