Job Summary

Under administrative direction, this position provides comprehensive administrative support to the Office of Student Success Operations and Strategy (SSOS). It serves as the first point of contact for students, faculty, staff, and visitors, offering general information and directing inquiries appropriately. The role supports SSOS teams through phone coverage, appointment scheduling, meeting and event coordination, and travel and expense processing. It also manages office operations.

  • Serves as first point of contact in the Office of Student Success Operations and Strategy. Greets students, staff, faculty, and visitors in the main office reception area.
  • Provides general information to visitors regarding academic and enrollment support. Forwards inquiries to appropriate person or department, as needed.
  • Provides support to the SSOS Teams by answering phones, directing calls appropriately, and scheduling appointments.
  • Oversees the organization and presentation of departmental common areas, ensuring a welcoming and functional environment for staff and visitors.
  • Coordinates maintenance requests and collaborates with Facilities to address space-related needs.
  • Maintains and updates supply inventory. Submits supply orders for approval.
  • Maintains and updates departmental property inventory.
  • Monitors IT needs (Ask-IT tickets or PantherTech repairs), assists with general technical issues and requests IT assistance when needed.
  • Assists with scheduling meeting space and room reservations.
  • Sets up rooms for AV related/technical equipment (Zoom, etc.) for meetings, events, presentations, etc.
  • Assists with coordinating travel arrangements, as well as submitting travel authorizations and expense reports for department employees.
  • Assists with planning team meetings and events.
  • Performs other related duties may be assigned. The omission of related duties does preclude the supervisor from assigning them.


Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR six (6) years of office or related experience; OR an equivalent combination of relevant education and/or experience.
