Responsible for the administration of the operational and general business functions of a Division, including the academic and clinical components of the Division. The Operations Supervisor reports to the Administrator in the Administrative Services Group (ASG).

I. Major Responsibilities:

1. Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training, divisional staff levels, human resources functions, physician coverage scheduling, billing processes and operations. Make recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. Resolves grievances and other personnel problems within position responsibilities.
2. Serves as a member of weekly meetings with the Department Chair and Division Chiefs regarding billing, staffing, and operational issues.
3. Acts as a liaison with physicians and staff regarding questions and concerns.
4. Participates in administrative/faculty meetings within the Department of Neurology and Divisions of Geriatric and Renal Medicine.
5. Works in conjunction with Administration Leadership, Chairs and Division Chiefs on service line operational growth and improvement.
6. Point person for ALS and Neuropsych office base clinics for billing and process issues.
7. Manages special projects as assigned by Senior Leadership.
8. Participates in physician recruitment process. Monitors new physician activity to ensure compliance with physician offer letters. Works with the Marketing Department to promote new physicians and services. Works with Medical Staff Services to ensure hospital privileges and physician credentialing are completed on time. Oversee on-boarding process of new physicians.
9. Develops collaborative relationships with hospital clinic management.
10. Sets up and monitors clinical schedules for new and existing MD clinics onsite and offsite. Coordinate with Central Scheduling to ensure that clinic templates are up to date allowing for efficient clinic scheduling both onsite and offsite.
11. Manage faculty departures which include processing all necessary HR, payroll and Medical Staff paperwork and informing patients of physician departures. Oversees that departing physician's clinics are closed, patients are cancelled and rescheduled with other providers.
12. Oversees billing and collection activities as well as reimbursements as needed.
13. Evaluates methods and procedures or develops alternative techniques for processing work or improving the operating efficiency/effectiveness of the Division.
14. Collaborates with Division Chief and Administrator in setting up new practice locations outside of UMMHC.
15. Provides status updates of provider's insurance panel status to Department Chair, Division Chiefs, and Administrator. Works with Central Scheduling to update the insurance plans that new providers can accept.
16. Works with the Division Chiefs /Administrator regarding HR, Legal and Finance issues.
17. Processes the payroll for the Medical Group staff and physicians. Resolve all payroll issues.
18. Oversee the time and effort reporting data collection.
19. Monitors physician billing and non-billing compliance issues. Works with the Compliance Department regarding monitoring and resolving overall provider compliance issues.
20. Works with the Administrator to assure that compliance policies are executed for the division and participating physicians.

21. Monitors billing revenue to ensure maximum reimbursement. Reviews financial and productivity forecasts.22. Monitors and approves expenditures during the fiscal year ensuing compliance with Budget.

All responsibilities are essential job functions.

II. Position Qualifications:

License/Certification/Education:

Required:
1. Bachelor's Degree in Business Administration or related healthcare degree.

Experience/Skill:

Required:
1. Minimum of three (3) years of relevant work experience, one of which is in a supervisory or management capacity.
2. Ability to work independently with minimal supervision.
3. Proficiency in computer systems.
4. Must have ability to perform a variety of complex duties ranging from direct involvement in individual processes to overseeing projects.

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
