Base Compensation Range: $19.59 - $24.52/hr

This position is eligible for an annual 10% bonus opportunity in addition to the base salary

Job Summary

The Accounts Receivable Specialist II will assist with billing operations by ensuring accurate invoicing and fostering strong relationships with clients and vendors. The Billing Specialist will also manage the customer case queue and monitor business unit specific customer email inboxes.

Duties/Responsibilities



  • Billing Operations:


    • Upload invoices to portals and review portal processing, error messages, or rejections; report bi-weekly for problem accounts
    • Issue monthly statements via email and postal mail.
    • Monitor the case queue and assign tasks to the appropriate billing/AR representative.
    • Manage and prioritize customer shared inbox replies to address customer inquiries, and when necessary liaison with customer service to issue cases in NetSuite.


  • Data Management and Analysis:


    • Manage the "customer preference update log" to ensure customer data changes are processed timely.
    • Generate and maintain reports on billing activities, including outstanding invoices and payment histories.
    • Collaborate with the finance team to reconcile accounts and forecast revenue.


  • Vendor and Client Relations:


    • Process Vendor Set Up cases.
    • Handle customer inquiries related to billing discrepancies promptly and professionally.
    • Build and maintain strong relationships with clients to ensure satisfaction and loyalty.


  • Dispute Resolution:


    • Investigate and resolve billing discrepancies or disputes efficiently.
    • Document all communications and resolutions related to billing issues.
    • Collaborate with internal teams to address and correct billing errors.


  • Compliance and Documentation:


    • Ensure compliance with company policies, industry regulations, and best practices in billing.
    • Maintain accurate and organized records of all billing transactions and correspondence.
    • Assist in audits related to billing practices and financial reporting.




Experience/Education



  • High school diploma or equivalent required; Associate's degree or college level course wear in finance or accounting preferred.
  • Minimum of 1 - 2 years of experience in billing, accounts receivable, or a similar role.


Knowledge and Skillsets Required



  • Proficient in billing software and Microsoft Office Suite.
  • Advanced knowledge of NetSuite preferred.
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.


Physical Demands



  • Sitting: Often for extended periods at desks or meetings.
  • Standing or walking: Occasionally for meetings or office tasks.
  • Using computers: Typing, data entry and using office equipment.
  • Handling Documents: Sorting, filing, and moving paper files.
  • Telephone Use: Holding a phone or headset for extended periods of time.
  • Repetitive motions: Frequent use of keyboard and mouse.
  • Lifting: Light, less than 10 pounds.


Environmental Conditions



  • Workspace: Climate control (air conditioning or heating) to ensure comfort.
  • Lighting: Adjustable lighting to reduce eye strain.
  • Noise Levels: The noise level is moderate, with occasional interruptions from phone calls and conversations. Use non-canceling headphones if necessary.
  • Ergonomics: Workstations with desk and adjustable chairs to support good postures.
  • Ventilation: Good ventilation to ensure a comfortable working environment, though this can vary depending on the building.
