SECRETARY - Part-Time

The secretary provides clerical, administrative, and data-entry support to ensure the smooth operation of Center activities. This position plays a key role in maintaining accurate records, processing documentation, providing program information to students, registering students for classes, and assisting with communications and data entry functions.

Key Responsibilities: Under the general supervision of the immediate supervisor(s):

  • Perform data entry of student, staff, and program information into multiple databases with accuracy and attention to detail.

  • Assist with typing and preparing documents such as work orders, labels, certificates, staff lists, and class schedules.
  • Create, maintain, and update physical and electronic files for students, staff, and program materials.
  • Proofread and format typed materials to ensure accuracy and professionalism.
  • Handle incoming and outgoing correspondence, including email, mail, and phone inquiries.
  • Support administrative workflows such as registration form collection, attendance tracking, and course evaluations.
  • Prepare mailings for department events, student communications, and graduation invitations.
  • Participate in staff meetings, orientations, and professional development activities.
  • Perform general office duties including ordering supplies, maintaining inventory, and assisting with duplicating and filing needs.
  • Compile departmental data and assist with report preparation as required.
  • Perform other related duties as assigned by the supervisor.

Organizational Relationships: Responsible to the immediate supervisor(s) for performance of assigned responsibilities.

Performance Standards: Performance in this position is considered satisfactory when: (1) responsibilities of the position have been carried out at a level that ensures efficient and effective support to all people she/he supports.

Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • Minimum one year of administrative or clerical experience; experience in data entry or educational settings preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database systems.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple tasks and meet deadlines.
