The Division of Campus Enterprises offers exciting opportunities for employment across our retail and hospitality units. We provide

This position serves as a key member of the
NC State Student Centers Events team, supporting Talley Student Union and Witherspoon Student Center. The Event Coordination Assistant plays a vital role in coordinating event logistics, providing exceptional client service, and ensuring safe and successful event execution.
Primary Duties & Responsibilities
- Process incoming flexible meeting room and preset conference room reservations, ensuring accurate reservation times, access times, end times, and equipment details.
- Meet with clients planning complex events to determine event setup and audio-visual needs.
- Coordinate event services with campus partners such as catering, streaming/recording, security, transportation, and other service providers.
- Attend Risk Assessment meetings for large scale on campus events and record detailed documentation.
- Create event diagrams for flexible meeting rooms and assist Event Coordinators with diagrams for more complex events.
- Confirm existing reservations with clients prior to event dates.
- Attend weekly Catering Coordination and Event Coordination meetings (Thursdays from 12:00pm-3:30pm).
- Assist Event Coordinators with facility walkthroughs and conduct walk-in facility tours for clients.
- Provide excellent customer service via email, phone, Google Chat, and Mazevo.
This is an
hourly position that requires a
State-mandated 32-day break after 11 months of employment. Superior performance may provide the opportunity for
renewal and/or advancement into a
benefits-eligible permanent position. |

- High School Diploma (Bachelors Degree or 4 years of event experience preferred)

Excellent written and verbal communication skills, with the ability to convey information clearly and professionally. Proven ability to perform under pressure, managing deadlines, complex assignments, and shifting priorities with composure. Exceptional organizational skills, ensuring tasks, projects, and documentation are well-structured and efficiently managed. High attention to detail, consistently producing accurate and thorough work even in fast-paced or high-stress environments.

Comprehensive knowledge of NC State Student Centers-including organizational structure, departmental functions, services, programs, and standard office procedures and practices. Thorough understanding of departmental guidelines related to events and operations, including safety and security protocols (ingress/egress management, fire codes, weather-related emergencies, bomb threats, and active shooter procedures). Familiarity with best practices for event execution, covering event aesthetics, safe and proper use of equipment, collaboration with University Police and the Fire Marshal, and response procedures for medical or other on-site emergencies.
