Missouri Cancer Associates is a multi-specialty practice including medical oncology, hematology, radiation oncology and urology. We have 22 providers that service ten Missouri communities. Our main office is in Columbia. Through state-of-the-art medical technology, highly experienced physicians and nurse practitioners and quality patient care, Missouri Cancer Associates has become the premier Cancer Treatment Center in Mid-Missouri. In August 2022 we celebrated our 40th year of taking care of patients! We are looking for a friendly and hard-working Scheduler / Check in staff to join our team. Candidates should have an outgoing and friendly demeanor, a positive work ethic, and have a track record of working well with others in a team environment. We prefer applicants who have some customer service experience, but we are willing to train the right person. This position is located at 1705 E Broadway, Columbia, MO. Missouri Cancer Associates is affiliated with Urology Associates of Central Missouri and the US Oncology Network SCOPE: Under general supervision, is responsible for scheduling patient appointments and tests in an efficient and timely manner. Serves as a liaison between patient and medical staff. May include outside scheduling and/or surgical scheduling responsibilities. Provide coverage at the check-in desk as needed. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business.
Responsibilities
Key Responsibilities:
- Accurately register new patients in the electronic medical record (EMR) system, ensuring all required information is complete.
- Schedule new and returning patient appointments in accordance with physician and office protocols.
- Manage appointment changes, including cancellations and rescheduling, and promptly notify patients of any updates.
- Coordinate outpatient appointments, diagnostic testing, procedures, and surgeries as requested. Communicate clearly with patients regarding appointment details and any necessary preparation.
- Follow up on completed outpatient services to ensure providers receive all relevant records and results.
- Maintain up-to-date and accurate documentation within the EMR system.
- Collaborate with the prior authorization team to ensure required pre-certifications are obtained.
- Schedule post-operative follow-up appointments as needed.
- Monitor and respond to scheduling-related messages in the EMR system in a timely and efficient manner.
- Resolve scheduling conflicts and accommodate urgent or time-sensitive cases.
- Collect co-pays, deductibles, and other patient financial responsibilities at the time of service.
- Refer patients for financial counseling when appropriate.
- Provide compassionate support to patients navigating complex treatment plans.
- Uphold patient confidentiality and comply with HIPAA and clinic policies.
- Support overall front office operations by following established procedures and assisting with other duties as needed.
- Prepare correspondence, memos, forms, and other documents as requested by the supervisor.
- Demonstrate a basic understanding of medical terminology, including diagnostic and procedural coding, to support accurate scheduling.
Systems Utilized:
- Centricity Practice Management - for patient registration, scheduling, and billing.
- iKnowMed G2 - for oncology-specific EMR documentation and coordination.
- Aria - for radiation oncology scheduling and treatment tracking.
- Microsoft Outlook - for internal communication, calendar coordination, and appointment reminders.
Qualifications
- High school diploma or equivalent required.
- Minimum three years' office experience, preferably in a medical office setting.
- Knowledge of medical terminology and coding required. Must have excellent communication skills, written and verbal skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel) required.
