Department:Construction Management & Civil/Construction Engineering

Summary of Job Duties:The Administrative Analyst will serve as receptionist, administrative support, and grant/contract support for the Department of Construction Management and Civil and Construction Engineering Department. The Administrative Analyst reports directly to the Department Chair and assists the Chair and Program Coordinators in supporting students, faculty, and staff with the flow of information and documents. Job duties also include assisting the Chair with monitoring the Department budget and preparing and processing documents related to hiring, payroll, travel, purchasing, and Department events. This individual also provides registration assistance to students and faculty, and inputs course schedule information throughout the year. This position is governed by state and federal laws, and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • The formal education equivalent of a high school diploma;

  • One year of specialized training in business management, business education, or a related field;

  • Three years of experience in a specialized or related field applicable to work performed;

  • Other job-related education and/or experience may be substituted for all or part of these basic requirements.

Job Duties and Responsibilities:

  • General reception duties include providing excellent customer service in person, on the phone, and via email, answering incoming phone calls, directing calls to the desired party, and/or taking detailed messages;

  • Manage textbook orders;

  • Sort and distribute departmental mail and faxes;

  • Order and maintain office supplies and equipment for the department;

  • Coordinate travel for visitors, faculty, staff, and student travel, including making travel arrangements, completing appropriate travel and insurance forms, and reimbursement requests;

  • Produce general correspondence for the Department Chair.

Financial

  • Maintain the department budget and monitor expenditures;

  • Initiate and track progress of purchase requisitions, budget and expense transfers, and hiring process for full-time and part-time employees;

  • Maintain the proper use of department purchase and travel cards, including making purchases, allocating funds, submitting comments and documentation, and keeping card logs up to date by the monthly deadline.

Faculty Support

  • Manage the course evaluation process;

  • Coordinate faculty meetings and maintain meeting records;

  • Perform other duties as assigned.

Record Keeping

  • Create and maintain department records, personnel files for faculty and staff, and student records;

  • Monitor and report copier usage.

Knowledge, Skills, and Abilities:

  • Knowledge of policy and procedures concerning day-to-day operations of UA Little Rock;

  • Knowledge of policy and procedures concerning UA Little Rock Admissions, Academic Advising, and Registration;

  • Ability to plan, organize, and coordinate activities, resources, and materials associated with the needs of the Department and programs within;

  • Ability to communicate effectively with others;

  • Knowledge of computers and software applications;

  • Ability to prepare, present, review oral and written information and reports;

  • Ability to research and analyze related work program information;

  • Ability to develop, recommend, interpret, and apply policy and procedures;

  • Ability to analyze financial records and prepare reports;

  • Ability to plan, organize, and direct the work of others;

  • Ability to learn the Workday, Boss, and Banner programs.
