Job Description Summary:
Under the supervision of the Director Facilities Administration, the Transportation Specialist coordinates and manages agency's vehicle fleet to ensure the safety of clients and staff. They will oversee the adherence to city, state, and federal laws both in vehicle maintenance and driving protocols. Additionally, they will be involved with the coordination of parking passes procurement, allocation and distribution, as well as tracking purchase orders and check requests for various transportation related services.
Job Description Essential Duties and Responsibilities:
- Schedule routine maintenance, service, and cleaning of agency vehicles.
- Process and organize transportation documents (taxes, tags, tickets, and registration) while also monitoring mileage and upkeep of vehicles without compromising efficiency.
- Collaborate with internal departments to optimize transportation services.
- Develop, implement, and improve transportation policies and procedures that are tied to specific contracts, grants, and/or other projects.
- Audit, organize, and reconcile the use of company gas card accounts and the logs and issuance of further cards.
- Monitor drivers to ensure adherence to schedules and proper driving practices.
- Review DMV issues and maintain DMV log.
- Oversee the creation and logging of backup keys for all agency vehicles.
- Abide by city, state, and federal transportation car and road regulations, in addition to policies and procedures for pickup and delivery of packages.
- Work to secure client transportation through the means of bas passes, car services (such as Uber and Lyft), and TAP cards.
- Research and negotiate staff parking, then process to allocate and distribute the passes as needed.
- Analyze and prepare purchase orders and generate check requests in support of the procurement department, then ensure all goods are delivered in a timely manner to the proper address.
- Label and organize packages, mail, ergo orders, donations, and other miscellaneous goods for efficient and safe delivery
- Remit vendor payment as needed, including but not limited to by phone, mail, or in person
- Perform any other duties as requested
Job Description Qualifications:
- High School Diploma or GED or Equivalent
- Minimum three years working with vehicle fleet management or a related field
- Must have a valid California Driver's license with a clean driver record, proof of Insurance and reliable vehicle
- Required to drive personal car for pickups and deliveries
- Must be comfortable driving a box truck
- Self-motivated and able to successfully work in a fast-paced environment
- Ability to think critically about problems and be creative in finding solutions
- Possess excellent verbal and written communication skills, interpersonal skills, and ability to work both individually and as part of a team
- A highly motivated self-starter, with ability to coordinate multiple projects/tasks at once
- Strong Computer skills, including Microsoft Office, Outlook, TEAMS, ZOOM, etc.
Job Description Work Environment:
- Primarily indoor office environment
- Regularly required to sit, stand, bend and occasionally lift or carry up to 50 pounds
- May necessitate working in busy and loud environments
- May be exposed to elements like cold, heat, dust, noise, and odor
- May need to bend, stoop, twist, and sit throughout the day
