Position Summary

Performs a wide variety of clerical support services to assist with the efficient operation of the Food Service Department while maintaining confidentiality.

Duties and Responsibilities

(These duties and responsibilities are judged to be "essential functions" in terms of the Americans With Disabilities Act or ADA)




  • Process and maintain Education and Nutrition Benefits Forms and meal applications
  • Public communications and updating Food Service website
  • Process Mohegan meals in Meal Magic
  • Import IAM student data for Meal Magic
  • Process debit refunds from student meal accounts
  • Collect and verify food service staff timesheets and assist with online timekeeping
  • Monitor food service attendance and enters it into AS400, Upload to AS400
  • Ensure all staff absences are filled daily for central kitchen and all schools
  • Maintain staff training documentation
  • Collect and verify financial reporting data (USDA, MDE, District)
  • Process purchase orders and all vendor invoices
  • Generate department invoices and process payments
  • Assist with staff training and communications
  • Order and maintain office supplies for central kitchen and all schools
  • Receive daily deposits and verify for accurate records for all district buildings, correspondence and follow up
  • Run month end reports from Meal Magic i.e., for student balances, reconciliation, open invoice report, receivables
  • Year End inventory consolidation and warehouse organization
  • Technical support for Meal Magic and chippewavalley.familyportal.cloud
  • Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
  • Communicate with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.
  • Maintain Food Service staffing lists and other forms as needed

Education:



  • This position requires high school diploma or equivalent.



Experience:



  • One year of related experience providing clerical support in an office setting required, two years preferred.


Knowledge:



  • Knowledge of basic math, required.
  • Knowledge of principles and processes for providing customer services, required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.


Abilities:



  • Ability to read and interpret district policies, guidelines, government regulations, required.
  • Ability to write routine reports and correspondence, required.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
  • Ability and willingness to learn different software systems, required.
  • Ability to multi-task, meet deadlines, and work in a fast-paced work environment, required.
  • Ability and willingness to work cooperatively with teachers, community, students and staff, required.
  • Ability to read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English-speaking staff, students, community and supervisors, required.

Keyboarding, Data Entry, Advanced Word Processing, Basic Math, Alpha Filing, Customer Service, Proofreading, Basic AS400, Basic PowerSchool and Advanced Excel are required.
