The Office of International Education (OIE) at Carnegie Mellon University serves as a central hub for international students, scholars, and faculty. It provides comprehensive support services, including immigration advising, cultural adjustment assistance, and programming to promote cross-cultural understanding. Through its initiatives, the OIE fosters a vibrant and inclusive campus community, enriching the educational experience for all students and promoting global engagement and collaboration.

OIE is seeking an International Programs Coordinator who will be responsible for both administrative and project-related operations within the OIE. Key responsibilities include providing high-level executive support-such as managing calendars, providing program/project management support and co-managing the Host Family Program for international students. The role also supports study abroad and exchange initiatives.

This position serves as a point of contact for internal departments and external partners, regularly handling sensitive information with strict confidentiality and discretion. This position reports directly to the OIE Executive Director but will work closely with and will take direction from the Assistant Director of Operations and the Director of Study Abroad.

Core responsibilities include:

  • Executive support to OIE Director (Under the direction of Executive Director)

    • Manage administrative responsibilities of the Director, including managing time commitment (calendar), travel, responding to routine questions, providing organizational support as needed

    • Oversee and manage project planning for the office including scheduling and developing timelines for refreshing and updating materials, assisting with training and other project/programming planning responsibilities as necessary

  • Special Programming (under direction of Assistant Director, Operations)

    • Manage office scheduling and room reservations for routine meetings and office programs/events

    • Co-manage the Host Family Program for International Students

    • Coordinate and organize the outreach and events for the ISPO (International Spouses and Partners group)

    • Assist with other special programming, as assigned

  • Study Abroad and Exchange Program Support (Under the direction of the Director of Study Abroad)

    • Support programming for study abroad and exchange advisors and students

    • Assist with semester program code changes

  • Other duties as assigned

    • Support large-scale programming such as new student and scholar orientations, etc.

    • Assist with front-desk coverage in shifts, as needed

    • Participate in Enrollment Management and campus events in service to the community

    • Complete other tasks or duties that may arise

Qualifications:

  • Bachelors degree

  • Five (5) years related work experience

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered

Requirements:

  • Successful pre-employment background check

  • Successful candidate must be a US citizen or permanent resident

  • Work Posture: This position is operating on a hybrid schedule, with an on-campus/in-office presence 3 days a week.
