Job Summary

Estrella Mountain Community College (EMCC) is hiring an Administrative Associate Coordinator. This position provides administrative support to the Deans of Students by coordinating department and division functions, projects, and initiatives. Serving as the primary point of contact for students, staff, and community stakeholders, the role manages critical communications, calendars, budgets, travel, and project coordination.

Essential Functions

25% - Plans and coordinates events, programs, and initiatives in collaboration with internal and external stakeholders. Partners with administrators, faculty, staff, students, and community members to monitor progress, provide updates, and, through collaboration with administrators, ensure timely completion of priorities. Supports departmental projects, activities, and events, while serving as a liaison with administrators, directors, managers, the district office, and external organizations.

25% - Schedules, coordinates, and executes a wide range of administrative and office functions in support of the Dean of Students' Office and other Student Affairs departments. Develops complex departmental narrative and statistical reports; manages filing systems; answers and directs calls on multi-line phones; and coordinates in-person and virtual meetings, events, seminars, and conferences-ensuring all activities are accurately scheduled, required attendees notified, appropriate rooms reserved, and supporting documents or links are distributed. Takes and prepares meeting minutes, drafts correspondence, addresses, and troubleshoots issues and concerns from students, staff, and community members, and maintains administrator schedules with full coordination of meetings, agendas, and records.

15% - Manages student discipline notifications and the EMCC complaint process, both online and in person, ensuring timely resolution while upholding student due process. Supports care reporting as needed and maintains strict confidentiality in handling all information, data, materials, and records.

15% - Monitors, develops, and tracks multiple departmental and project budgets; performs all office purchasing functions and requirements; provides research assistance on special projects; completes all travel, purchasing, and other fiscal/administrative functions/processes for multiple departments.

10% - Responds to inquiries requiring advanced knowledge of college and district policies and procedures, providing accurate, comprehensive responses aligned with established guidelines. Ensures compliance with local, state, and federal regulations, including FERPA, while maintaining the highest standards of privacy.

10% - Performs other duties as assigned, commensurate to the grade level of the position.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and three (3) years of full-time equivalent administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff.

OR

High school diploma from a regionally accredited institution and five (5) years of full-time equivalent administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff.

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) years of experience coordinating complex projects and activities (project management) involving multiple stakeholders

B. One (1) year of experience providing administrative or secretarial support to senior-level management

C. Three (3) years of experience with Microsoft Office, developing PowerPoints, Word documents, Excel documents, Google Suite, etc.

D. Three (3) years of experience managing virtual workspaces, such as Google Meets, WebEx, and Zoom

E. Experience managing confidential information and maintaining accurate and organized records, financial reports, and/or statistical reports in compliance with institutional policies

F. Experience working with student conduct tracking systems, Client Relations Management systems, and/or Student and Financial records software

G. Bachelor's Degree or higher

Special Working Conditions

This position will require travel off-site to support the initiatives of the Student Affairs department.

May be required to lift or carry up to 25lbs with or without reasonable accommodation

May be required to sit for a prolonged period of time, viewing a computer monitor
