  • Organization Summary: The Minnetonka Public Schools Foundation is a 501(c)(3) non-profit organization with two staff members (this role and an Executive Director) and 19 active volunteer board members. Our mission is to raise and allocate funds to initiate and support innovative educational programs which enrich the learning experiences of all students served by Minnetonka Public Schools.

    We support innovation in Minnetonka schools through an annual Teacher Grant Program, which funds classroom grants submitted by teachers and staff for a school year. We have a $1.9 million Endowment Fund which supports multi-year educational programs with district-wide impact. We also administer special named funds established by donors to focus support on specific areas.

    Primary Function: The Associate Director is responsible for supporting the Executive Director in special events, accounting, administrative, committee and meetings management work as well as having close interaction with trustees. The focus of this position is on producing high quality, detailed work based on established procedures. This position requires excellent organizational and communication skills and the ability to multi-task and adapt to changing situations. The ideal candidate will be experienced in handling a wide range of tasks from administrative to leadership and will be able to work independently as well as within a team. This person must be exceedingly well organized, flexible and enjoy the challenges of working in a small staff office with diverse trustees and programs. The ability to work in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

    Essential Duties and Responsibilities:

    Accounting and Administrative:
    • Manage the Foundation's office operations by performing clerical duties in a timely manner, such as maintaining supplies and equipment, responding to email, scheduling meetings, handling mail, responding to donor inquiries, preparing letters and board materials, etc.
    • Manage and maintain the Foundation's donor customer relationship management database and online donation software by entering data, processing donations and refunds, and generating a variety of informational and financial reports.
    • Website administration includes but not limited to updates, enhancements, new pages, etc.
    • Maintains social media outlets including Facebook, Instagram and Twitter
    • Manage and maintain day-to-day entry in QuickBooks accounting software, including preparing checks, posting deposits to correct accounts, and budget tracking.
    • Provide schedules and prepare documents, reports, and financial information for IRS filings and annual financial review (conducted each summer).
    • Point of contact with the insurance broker for updating and/or renewing policies

    Committee Work:
    • Support for Dream Makers committee as needed with a variety of event planning needs prior to and during the Foundation's annual gala.
    • Work closely with the Teacher Grant committee to help organize & administer an annual Teacher Grant program, working closely with a committee, to update the grant application, promote the application process with district staff, format grant applications into Word and PDF documents for trustees and district administrators to review, prepare spreadsheets for trustee ranking, merge letters to notify grant applicants, work with district staff to administer and track funds, and follow up with grant recipients on remaining fund balance and to complete grant summary forms.
    • Support the Brand & Experience committee as needed at regular district outreach events & Teacher Gift sales, working closely with a committee to select and order the teacher gift for sale, track online sales from parents, organize and merge donor information, and coordinate logistics to prepare/distribute gifts to various schools.

    Meetings:
    • Attend and support monthly board meetings (September through May), organizing and distributing agenda materials, committee reports, and handouts. Attending evening board meetings, running PowerPoint presentations and, as needed, taking meeting minutes.
    • Schedule Teacher Grant recipient presentations at 3-4 of the monthly board meetings.

    Experience and Qualification Requirements
    * Bachelor's degree preferred
    * Strong communication and writing skills
    * Extremely strong organizational skills
    * Proficiency using MS Outlook, Word, Excel and PowerPoint
    * Experience using CRM databases and/or QuickBooks
    * Evidence of successful collaboration and an ability to work cooperatively with a variety of stakeholders (i.e. board members, district leadership and staff, volunteers, donors and parents)
    * A passion for public education
    * Experience in events, fundraising, and/or non-profit organizations is a plus
    * Familiarity with Minnetonka Schools and the Minnetonka community is a plus

    Reporting: This role reports to the Executive Director and works closely with all board members. The Minnetonka Public Schools Foundation works in partnership with the school district but is a separate, independent organization. This position does NOT work for the school district.

    Hourly Wage Range: $25 per hour or higher, based on experience, paid semi-monthly from a time sheet. This position does not offer medical benefits, dental benefits, or paid time off (vacation/holiday).

    Schedule: In general, the Administrator works approximately 20 hours/week during school year (September through May) and 5 hours/week during summer. The position increases to 40 hours/week in January and February to support our largest annual fundraising event. Hours are flexible, especially when Minnetonka schools are not in session, and some evening and/or weekend work is necessary.
