What We Do The Settlement/Closing Coordinator is responsible for managing the real estate closing process for residential and/or commercial transactions. Coordinate with buyers, sellers, lenders, and real estate professionals to ensure all conditions of the transaction are met. Required to secure and disburse funds, clear tile and ensure full compliance with all relevant laws and regulations.

What You'll Do

  • Oversee the entire transaction from the opening of the file through its closing, providing an extraordinary experience for all parties.
  • Receive and deposit funds, such as "hand money" and closing funds into escrow accounts. Disburse funds according to signed closing instructions.
  • Document Management:
    • Prepare and review escrow and closing documents, such as seller deed packages, settlement sheets, closing disclosures, for accuracy and completeness.
    • Ensure all necessary documents are signed, notarized, and filed correctly.
  • Clear title: Order payoffs, work with title examiners to resolve any title defects, such as liens or encumbrances, to ensure a clear title is transferred to the buyer.
  • Communication and Coordination:
    • Act as a central point of contact for all involved parties, including real estate agents, lenders, buyers, sellers, and attorneys.
    • Provide updates on the status of the transaction to all parties involved.
    • Answer questions from clients and agents regarding the closing/escrow process.
    • Schedule signing with the parties
  • Calculate and prorate expenses, including property taxes, interest, and insurance, between buyer and seller.
  • Post-Close:
    • Package clean-up
    • Final Water/Sewer escrows
    • Review of uncashed checks and other post-close items.

What You'll Bring

  • 2-4 years of escrow-related experience including title clearance
  • Experience directly handling escrow transactions
  • Openness to new technology and proprietary programs; adjusts easily to new workflow
  • Passion for helping customers while maintaining a professional and positive attitude
  • Excellent verbal and written communication with both our internal team and external customers; comfortable using various types of communication to meet customer needs
  • Problem solver with strong organizational skills, is detail oriented, and knows how to navigate internal and external resources to resolve issues
  • Thrives in contributing to a team working together to deliver beyond customer expectations
  • Comfortable guiding and supporting future talent learning the business
  • Knowledge of MS Office suite and ability to quickly adapt to new software applications and technologies
  • Valid Licensing/Certification as required by applicable state
  • High school diploma or equivalent
