Overview

The purpose of this role is to support the Managers of Ship Control Engineering in execution of Ship Control tasks. This position requires administrative performance at the highest levels. Job functions include coordination of high-level customer meetings including readiness reviews for system deliveries to construction and test events, presentation preparation, administration of electronic data processing, scheduling meetings and developing agendas, tracking actions to closure, and support internal and external correspondence. The position requires excellent communication with all levels of management, numerous customers, suppliers and sites. Overtime is required as necessary to support the business or program needs.

They must possess exceptional attention to detail, administrative and organizational skills, and be capable of coordinating multiple tasks, to include assisting in coordinating office services, such as group records budget preparation and progressing information to aid supervisors' budget progressing management and scheduling. Retrieve corporate documents, records, and reports, to include group supervisory reports and attend meetings to record minutes.

Responsibilities:

    Demonstrated ability to concurrently complete multiple assignments
  • Set up and run meetings
  • Take meeting minutes and notes as required
  • Process service requests for CAC, CITIS, PI Web, PKI, data entry in Commitment Database, and CMDB data entry and data validation
  • Support and coordinate the preparation and execution of Readiness Reviews, and customer level working groups
  • Perform travel arrangements and expenses as required
  • New hire onboarding
  • Ability to maintain a professional demeanor under stressful situations
  • Strong written, verbal, and social communication skills
  • Exceptional attention to detail
  • A Questioning attitude with a desire to learn and grow in the position


Qualifications

Required:

  • High School diploma or equivalent
  • Minimum 5 years of technical and administrative support experience
  • Typing proficiency at a minimum of 45 words-per-minute
  • Ability to obtain or possess a secret clearance
  • Must be proficient in:
    • Lotus Notes
    • Adobe product or equivalent
    • Microsoft Office Products

Preferred:

  • A strong background and experience dealing with EB technical and administrative departments such as Document Databank, Engineering, Contracts, and Finance

  • Support department's hiring and new hire onboarding
  • Well-developed interpersonal skills, communication skills
  • Motivated self-starter
  • Demonstrated ability to effectively interact with and integrate a wide range of personnel within EB and outside of the company
  • Must be confident in communicating and working with upper management as well as customer and foreign participants
