JOB SUMMARY
The Event Planner will independently manage smaller Doble-hosted events, both virtual and in-person, as well as provide support for our large flagship events, preliminarily in the North American region. This role will be based in our Marlborough office reporting to the Director, Global Events.
ESSENTIAL JOB FUNCTIONS
- Manage smaller in-person Doble hosted events in the Marlborough office from initial logistics to execution and follow up as needed including being the liaison with the technical Doble employee requesting the event
- Manage virtual DSA webinars and other virtual trainings from initial logistics to event marketing to execution and follow up as needed. This includes managing the virtual platform during the event.
- Event Marketing Communications and Promotion
- Create, write and maintain event websites on Cvent event management platform
- Create and implement complete event marketing plan including promotional messages for events through e-communications, outside vendors, and other methods as needed
- Collaborate with event's technical leader to finalize event program, detailed agenda and other supporting information and make available to prospective attendees
- Event Logistics Managements
- Manage logistics for both pre-event and on-site as the Event Logistical Leader
- Lead and manage Doble on-line registration system for assigned events
- Obtain price quotes and work with outside suppliers and subcontractors on all aspects of the events
- Execute requirements for events such as meeting room set up plans, food & beverage requirements, audio visual services, and other services
- Create and analyze metrics for measuring effectiveness and identifying areas of improvement consisting of post-show follow up, budget completion, attendee follow up communication, and post-event survey compilation
- Manage all external and internal speakers
- Budget Management
- Create master budget spreadsheets for assigned events
- Manage, monitor and control expenditures throughout planning and on-site at event to ensure budget is met
- Review final invoices from vendors and resolve any discrepancies
- Reconcile final budget with the Director, Global Events
- Post Event Follow Up
- Mark attendance where necessary
- Assign Professional Development Hours
- Follow up with attendee certificate requests
- Assist on flagship events as needed including the Doble Client Committee Meeting and the International Conference of Doble Clients as well as our other paid seminars.
- Manage flagship tradeshows in North America with assistance from the North American Tradeshow Coordinator
QUALIFICATIONS
EDUCATION:
- Requires a bachelor's degree OR a combination of experience, education, and training equivalent to a four-year degree in the fields of event management.
- CMP (Certified Meeting Professional designation) not required but a plus.
REQUIRED EXPERIENCE:
- 2+ years planning events
- 1-2 years marketing experience including implementing e-marketing campaigns
PREFERRED EXPERIENCE (Not Required):
- Proficient in event registration software preferably Cvent
- Previous experience with Pardot or other marketing automation system helpful
KNOWLEDGE, SKILLS & ABILITIES:
- Proficiency with Microsoft Office
- Ideal candidate possesses the ability to work independently
- Exercise independent and discretionary judgment
- Show initiative by staying abreast of new and emerging technology via continual self-learning, attending key seminars and trade shows
- Ability to express ideas clearly in both written and oral communications
- Ability to independently plan and organize one's own activities

- Position requires some travel (up to 20%) especially in September-October and February-March
PHYSICAL REQUIREMENTS:
While performing the duties of this job the employee is often required to stand, sit, use computers, read, write, type, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Actual base salary offered to the hired applicant will be determined based on their work location, level, qualifications, job related skills, as well as relevant education or training experience.
Salary Pay Range Minimum $72,955.10 - Midpoint $91,913.87
