The Office Administrator & Accounting Professional is responsible for managing the daily administrative, financial, and operational functions of the office. This key role supports the organization's leadership by ensuring accuracy in accounting, efficiency in operations, and compliance across human resources and payroll. Responsibilities
- Manage accounts payable and receivable, ensuring timely and accurate processing of invoices, payments, and collections.
- Oversee client billing and invoicing, ensuring accuracy and timely collections to support healthy cash flow.
- Maintain and reconcile financial records in accordance with company policy and accounting standards.
- Assist with budgeting, forecasting, and the preparation of financial reports.
- Monitor office expenses, manage vendor contracts, and identify cost-saving opportunities.
- Process bi-weekly or monthly payroll, ensuring accuracy, timeliness, and compliance with regulations.
- Track employee PTO, leaves, and attendance records.
- Maintain up-to-date employee files and ensure HR documentation complies with employment laws.
- Support recruitment efforts, including job postings, onboarding, and training coordination.
- Serve as the primary point of contact for employee questions related to payroll, time off, and HR policies.
- Generate and distribute regular reports and dashboards related to financial, operations, and productivity.
- Ensure accuracy and integrity of internal data systems and record keeping.
- Collaborate with leadership to monitor KPIs, cost metrics, and operational trends.
- Oversee day-to-day office operations including supply management, vendor coordination, and equipment maintenance.
- Develop and implement policies, procedures, and work flows to enhance operational efficiency.
- Manage scheduling, internal communications, and logistics for meetings and events.
