Position Summary

Are you outgoing, confident and professional in all you do? The School of Engineering (SoE) is seeking an experienced Academics Coordinator for two new programs: our multi-disciplinary program in Integrative Engineering (IE) and our First-Year Engineering Program (FYE). You will report to the Director of the two programs. This position plays a key role in supporting the overall operations of both programs, assisting with administrative, academic, and program-related functions, and liaising with School and University offices to ensure smooth communication and effective coordination.

We are seeking someone with experience in academic program coordination, undergraduate student advisement or student recruiting/admissions, who will also support accreditation preparations, course planning/schedule/catalogue, and day-to-day operations. Other responsibilities will include managing the operational planning of the program with the oversight of the programs' Director to include (but not limited to) budget submission, budget review, budget forecast, expense management, grant management, contracts, reimbursements and purchasing, advisory board and steering committee relations, and public relations (coordinated with personnel in the Engineering Student Success Center and the SoE Communications and Marketing Manager).

Key Responsibilities

  • Provide general administrative and operational support for both programs
  • Assist with programmatic operations such as facility management, equipment inventory, purchasing, timekeeping, hiring support, and personnel record-keeping.
  • Support data management by maintaining records, tracking program activities, and compiling reports for departmental planning and assessment.
  • Coordinate meetings, training, recruitment activities, and special events.
  • Serve as a resource for students and faculty on program requirements, graduation, policies, and procedures.
  • Monitor student progress, maintain academic records, and ensure deadlines for program and graduation requirements are met.
  • Research and resolve issues related to curriculum, program, and institutional requirements.
  • Assist with academic petitions, program changes, and resolution of academic or administrative issues.

This position requires strong organizational skills, attention to detail, and the ability to handle confidential matters professionally. There are no additional staff working in this program, so it's imperative that you are a self-starter and internally motivated to get things done.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Bachelors Degree (Any area)
  • Prior administrative experience in an academic program/department
  • Experience with academic advisement in higher education
  • Successful Experience: creating purchase orders; preparing reimbursements for travel or goods; using a corporate credit card; using UNM's Banner and Lobo Web systems for procurement.
  • Bookkeeping/reconciliation experience
  • Customer service and phone etiquette knowledge and experience
  • Grammar proficiency and the ability to write well
  • Knowledge of business and office etiquette and ability to keep matters confidential
  • Proficiency in MS office, specifically Word, Excel, Outlook
  • Ability to: work independently; work as a member of a team; take initiative
  • A demonstrated commitment to student success, as well as to working with broadly diverse communities.
