Job Description

The Facilities Specialist plays a key role in ensuring the efficient operation of the Facilities Management & Engineering department by providing both administrative and operational support. This role combines traditional administrative responsibilities with hands-on coordination of facilities-related activities. The position is responsible for managing schedules, maintaining documentation, facilitating communication, and tracking project progress. Operating with a level of autonomy, the Facilities Specialist is entrusted with ownership of assigned functions and contributes to the overall effectiveness of departmental operations.

How You'll Spend Your Time
  • You will provide proactive administrative support to the Director, including scheduling meetings and managing logistics.
  • You will attend key meetings to capture minutes, track action items, and support follow-up communications.
  • You will prepare executive-level reports, presentations, and correspondence aligned with organizational priorities.
  • You will assist with tracking operational and capital budgets, including timely invoice processing.
  • You will support project tracking and provide status updates for facilities, maintenance, and engineering initiatives.
  • You will help maintain asset management systems, preventive maintenance schedules, and EHS compliance records.
  • You will contribute to data coordination for facilities systems, ESG programs, and vendor bid process reporting.
Education & Experience Requirements

This level of knowledge is normally acquired through completion of an associate or bachelor's degree in business, facilities management, or related field or equivalent work experience of 3 - 5 years.

  • Ability to learn complex tasks quickly and repeat with minimal errors.
  • Excellent PC skills and proficiency in Microsoft Office Suites (Word, Excel, Outlook, PowerPoint, Projects, Visio)
  • Excellent interpersonal, verbal, and written communication skills
  • Excellent organizational skills: ability to prioritize and handle multiple tasks simultaneously.
  • Demonstrated ability to handle significant fluctuations in volumes while meeting extremely stringent deadlines.
  • Ability to deal with confidential information in a discrete manner.
  • Familiarity with facilities operations.
  • Experience supporting senior leadership or managing cross - functional communications.
  • Facility Management Professional credential and/or designations in the facilities management and/or OSHA360 EH&S environment.
