We're seeking a proactive and service-oriented Office Coordinator to oversee day-to-day office operations and ensure an exceptional workplace experience at our Tysons (McLean) office. In addition to managing facilities, vendors, and supplies, this role will provide light administrative support to senior leaders and the broader team-including scheduling, travel coordination, and document preparation.
Key Responsibilities
- Front-of-house excellence: Welcome visitors, manage reception duties, and ensure a professional, client-ready environment.
- Workspace upkeep & safety: Maintain conference rooms, common spaces, and office equipment; coordinate with building management for access, maintenance, and repairs.
- Supplies & inventory: Monitor and order office, kitchen, and technology supplies within budget; track asset and key inventories.
- Vendor management: Serve as point of contact for cleaning, catering, plants, and office service vendors; verify invoices and ensure quality service delivery.
- Mail & shipping: Oversee incoming/outgoing mail, packages, and courier services.
- Event coordination: Support planning and logistics for on-site meetings, team events, and all-hands sessions (room setup, catering, light AV).
- Administrative support: Assist leadership with scheduling, calendar coordination, meeting logistics, travel arrangements, and preparing documents or presentations.
- Onboarding & employee support: Prepare new hire workstations, welcome kits, and provide ongoing support for staff needs.
Professional Experience Required
- 2+ years of experience in office administration, facilities coordination, hospitality, or administrative support.
- Strong organizational and time-management skills with the ability to juggle multiple priorities.
- Excellent interpersonal, written, and verbal communication skills.
- Proficiency with Microsoft Office Suite and/or Google Workspace; comfort with calendar management and scheduling tools.
- Detail-oriented problem-solver with a proactive, service-minded approach.
- Ability to handle sensitive information with discretion and professionalism.
- Comfort managing vendor relationships and tracking budgets.
- Ability to occasionally lift up to 25 lbs for office/event setup (reasonable accommodations available).
Location & schedule
- This is a fully on-site role at Exiger's Tysons (McLean), VA office during core business hours, with flexibility for occasional early setup or vendor access.
