Our extensive experience, connections, and deep expertise across different sectors, industries, and transportation modes, means we can be counted on for process excellence that will save time and money. *We are hiring a Logistics Coordinator for our Salt Lake City, UT* * Shift M-F, Typical 8-5 < can be flexible * Overview: The Logistics Coordinator is responsible for the accurate and timely execution of data entry, shipment tracking, scheduling, and dispatch processes to ensure seamless logistics operations. This role requires strong communication skills, attention to detail, and the ability to collaborate cross-functionally with brokers, carriers, customers, and internal teams. The Logistics Coordinator also plays a critical role in maintaining data integrity and supporting the team's growth and performance goals. 1. Data Entry
Build and close loads accurately in the system. Enter all relevant shipment data including: Load information Customer details Shipping and receiving information Purchase order data Shipping orders Reference numbers --- 2. Quoting
Review load details, and advise which mode is appropriate (LTL, Volume, FTL) Audit the commodity to ensure we are using the correct NMFC and Class Confirm any accessorial charges that are required Choose carrier options based on Least Cost Route (LCR) and customer preferences and service 3. Scheduling / Booking
Utilize customer portals where applicable. Maintain and analyze "deliver by" date data. Confirm transit times are achievable. Escalate to brokers or customers if transit time is not feasible to meet customer requirements. Ensure Bill of Lading (BOL) is sent prior to shipping 4. Dispatch Operations
If shipment moves as FTL, billed amount should be validated by both LC and Broker. Review and resend the Bill of Lading (BOL) information if needed. Ensure the correct billing party is assigned to each shipment. 5. Monitoring, Tracking & Issue Resolution Maintain comprehensive shipment notes. Being proactive to anticipate and address any potential delays with carriers Coordinating with terminals to ensure on time performance Conduct regular check calls with carriers to verify current location and status updates. Monitor and respond to cases raised via Case Management or other support platforms. Address and resolve escalation issues promptly. Handle Proof of Delivery (POD) documentation. Oversee real-time tracking and apply reason codes where delays occur. 6. Database & Address Book Maintenance Maintain accurate and up-to-date information for all clients and carriers. Routinely verify data entries to minimize errors and improve efficiency. Update product catalog if needed --- 7. Claims Initiate claims with carriers for LTL shipments on behalf of customers, ensuring all required documentation is collected (BOL, delivery receipts, photos, commercial invoices, etc.). Submit claims promptly in compliance with carrier procedures and deadlines. Track claim status with carriers, following up regularly until resolution. Communicate claim progress and outcomes to customers in a timely, professional manner. Negotiate or escalate disputes when claims are denied or settlement amounts are insufficient.
