Medica is seeking an experienced Records and Information Management Manager with a background in records management, retention, and refinement. This role is ideal for a certified records management professional who is highly organized and thrives in a mission-driven, healthcare-focused organization and who is passionate about ensuring efficiency and organization of data.

Responsible for the strategy, roadmap, implementation and maintenance of an assigned Legal program. The Records and Information Management Manager will provide Records Management services and direction to all Medica business units on Records Management and information issues. This includes appropriate responsiveness to business units for problem solving, analysis, education, and communication as it relates to any/all records and information needs.

Key Responsibilities



  • Records Management training, learning and development for the entire organization.
  • Provide Records Management services and direction to all Medica business units on Records Management and information issues this includes all digital and physical records. This includes appropriate responsiveness to business units including problem solving, analysis, education and communication as it relates to any/all records and information needs.
  • Create and maintain Records Management Policy and Retention Schedule development and refinement.
  • Collaborate work with designated Records Leads and upper management in each business unit to manage the compilation, tracking and maintenance of Medica's Annual Authorized Destruction Process, including hard copy records stored at our off-site vendor as well as Records kept on-site and electronically.
  • Work with Human Resources and correspond with managers to provide assistance to the Employee Transition Process through analysis and maintenance of tracking documents which track the delivery and receipt of Transition Checklists sent by Human Resources to managers (Manager Guide for Handling Transitions for Employees & Contractors) upon the termination of an employee, contractor or vendor.
  • Special projects such as the company-wide Electronic Data Retention Project to include the automated removal of files from the J:Drive that have not been modified in at least 10 years. The project includes ongoing meetings with the project team as well as meeting with individual business units to determine what folders/files will be eligible for the automated removal process and which will not. Involvement in this project also includes meeting with departments on an on-going basis to organize and clean-up their J:Drive folders in conjunction with the retention project. Collaborate with Tech team on Outlook and SharePoint retention.
  • Occasional work with other members of our team in the Qualified Health Plan.
  • Certification Process to include federal and state regulatory requirements to complete certification in all states where Medica plans are offered.


Qualifications:



  • Bachelor's degree preferably in records management, information management, library sciences, business administration or equivalent work experience.
  • 7+ years of work experience beyond degree.
  • 3+ years of experience in record management and retention.
  • Excellent collaboration and communication skills, with the ability to engage both technical teams and business stakeholders.


Skills and Abilities:



  • Records Management certification is strongly preferred.
  • Experience presenting, training, and leading discussions around record management techniques and best practices.
  • Experience in healthcare, insurance, or other regulated industries.
  • Knowledge of security, privacy, and compliance frameworks (e.g., HIPAA) desired.
  • Self-starter with strong analytical skills.
  • Strong understanding of data governance standards and hierarchies.


This position is an Office role, which requires an employee to work onsite, on average, 3 days per week. We are open to candidates located near one of the following office locations: Minnetonka, MN, or Madison, WI

The full salary range for this position is $87,100 - $149,300. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data. In addition to compensation, Medica offers a generous total rewards package that includes competitive medical, dental, vision, PTO, Holidays, paid volunteer time off, 401K contributions, caregiver services and many other benefits to support our employees.
