Description

Position Summary:

GoldenWolf is seeking a Senior Management Analyst to support Program and Operations Managers in delivering information, training requirements, and documentation to government personnel. This role involves managing, coordinating, and executing assigned projects under the direction of a Government lead.

Essential Functions:

01) Program & Project Support

  • Provide programmatic support for all Performance-Based Initiatives (PBI)
  • Deliver on-site support to the DHA Analytics Division as directed
  • Assist in the origination, development, and execution of administrative and management policies related to Facilities 02) Enterprise (FE) functions
  • Support documentation development for facilities space analysis and resource allocation studies (e.g., JIF, MHSSI, BCA)

02) Meeting & Communication Coordination

  • Coordinate with Subject Matter Experts (SMEs) for meetings and deliverables
  • Attend and report on meetings relevant to DHA Facilities data and analytics
  • Organize and facilitate recurring meetings (daily, weekly, quarterly), including: PBI Sync; Metrics, Reports, and Visualizations (MRV); IDE Technical Working Group; Data Governance; Dashboard reviews; and Lunch and Learn sessions
  • Prepare agendas, capture minutes, track action items, issues, and risks
  • Transcribe and distribute meeting documentation
  • Maintain calendars and schedule appointments

03) Documentation & Records Management

  • Manage and maintain the DHA FE PBI SharePoint site
  • Provide documentation and product support for meetings and deliverables
  • Develop templates, reports, and maintain electronic records
  • Proofread and edit documents for spelling, grammar, and formatting
  • Establish document retention policies and systems
  • Determine record identification systems and storage methods
  • Administer the creation, reproduction, security, and use of organizational records

04) Training & Education Support

  • Implement and support training and education initiatives
  • Assist in developing DHA PBI Comprehensive Training materials
  • Record and edit virtual training videos
  • Support training events such as Lunch and Learns and Data Summits
  • Provide training support to training specialists

05) Administrative & Operational Support

  • Provide administrative support to DHA FE executives and branches
  • Create/edit forms, spreadsheets, and weekly presentation slides
  • Manage and distribute organizational charts, contact lists, and phone rosters
  • Support the onboarding of new contract employees and ensure system access
  • Act as liaison between internal/external stakeholders and program managers
  • Use independent judgment to complete tasks and manage workflows
  • Perform complex administrative tasks including: Scheduling, travel arrangements, correspondence, and calendar management; Operating word processing tools for technical/confidential documents

06) Process Improvement & Strategic Support

  • Identify and implement process improvements using modern technologies
  • Assist in preparing and updating decision papers and briefs for senior leadership
  • Support ad hoc requests, including Congressional data inquiries and communications (e.g., MAX Transition Newsletters)

Travel Requirements: Up to 25% of worktime

Requirements

Required Qualifications:

  • 5+ years' previous experience in program management, project management, facilities management, administration, or related field preferred.
  • Strong working knowledge of Microsoft Office Suite/Microsoft 365, Microsoft Project, or other project management solutions to manage projects.
  • Experience in Healthcare Clinical Operations.
  • Ability to ensure proper system interfaces.
  • Ability to collect data for analysis.
  • Ability to develop products resulting from analysis.
  • Able to obtain a CAC

Education:

Preferred Bachelor's degree in health services research, Biostatistics, Statistics, Mathematics, Computer Science, Business Administration, Management, Economics, or related quantitative field of study.
