Location: Seattle, WA

Schedule: Monday-Friday; 9:00am-5:00pm

Pay: $25/hour

Status: Regular Full-Time / Non-Exempt

The Hickman House joint component transitional housing and rapid rehousing program provides confidential housing services to survivors of domestic violence and their children. The Administrative Assistant (AA) position is the first point of contact for the office, both in person and on the phone. The AA is responsible for providing clerical and administrative support to the program, and advocate staff, and will require work hours to include 1 evening per week. This position will manage sensitive and detailed information and requires someone who is organized with great attention to detail and can multi-task. The AA will also drive a vehicle at times to attend meetings, pick up donations, and complete administrative errands and tasks.

Duties & Responsibilities



  • Provide excellent customer service to clients, outside agencies, volunteers and the public via phone, email and as first point of contact on site.
  • Create and maintain accurate program records, spreadsheets, files, outcome reports, databases, and statistics to satisfy strict reporting deadlines.
  • Prepare and ensure clear organization, processing, filing, and tracking of invoices, vouchers, payments, and program reports monthly, quarterly, semiannual and or annual.
  • Support the program's Rapid Rehousing program by correspondence with landlords and clients for signatures, creating vouchers, and processing and tracking rental subsidy payments.
  • Prepare general correspondence as needed and/or required.
  • Assist and support Advocate staff with organizing, planning, and execution of weekly client groups, occurring one evening a week.
  • Assist with donation procurement and tracking.
  • Assist with donor engagement and volunteer recruitment.
  • Provide general office support with maintaining inventory of office supplies, filing, research, special projects, and general organization.
  • Drive a vehicle at times to various Salvation Army and community locations to attend meetings and complete administrative errands and tasks.


Education & Experience



  • Associate degree in accounting, business, or related field or equivalent work experience in related field.
  • 2 years' experience in an office setting.
  • Demonstrable skills in office management, data entry and file maintenance in a business environment.
  • Possession of a valid Washington State Driver's License
  • Ability to gain (and maintain) approval as a driver of Salvation Army Vehicles, in accordance with Risk Management protocols.
  • Ability to successfully complete Salvation Army child safety training and to be approved through the background/reference check procedure, in accordance with Risk Management and Human Resources protocols. Successful completion of periodic retraining and reapprovals are required for continued employment.

Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at five years' eligible service time. Plus, an employee-funded voluntary 403(b) option.

Parental Leave: The benefit is 40 hours of Paid Leave for qualifying events.

Sick Leave: 12 days of Sick Leave annually accruing from day one, eligible for use after three months' service time.

Paid Vacation:



  • Two weeks annually, accruing from day one, for non-exempt positions.
  • Four weeks annually, from day one, for exempt positions.
  • Accrued vacation is eligible for use after six months' service time.


Paid Holidays: 13 designated holidays + 1 floating holiday per year
