Position Highlights

This position will be an essential member of the Office of Academic and Faculty Affairs (OAFA) as it launches an Office of Continuing Medical Education (CME). This person will work directly with the CME program manager and play a critical role in providing administrative and operational support to the CME programs offered at the University of Arizona College of Medicine - Phoenix. This role will help resolve conflicts of interest and ensure that conflicts of commitment processes are followed. A key focus of the role will be to ensure that all CME activities meet the regulatory requirements and processes established by the Accreditation Council for Continuing Medical Education (ACCME) and implement CME events in collaboration with marketing and facilities.

Duties & Responsibilities

CME Office Operational Support:

  • Work the CME program manager to develop and implement CME program related policies, procedures, and processes to ensure compliance with Accreditation Council for Continuing Medical Education (ACCME) standards.
  • Coordinate with internal and external coordinators and activity directors to ensure all CME events meet ACCME requirements and regulations.
  • Provide guidance to coordinators and activity directors as it relates to technical advice, problem-solving and answering questions related to the online CME application and event management system.
  • Help manage the annual RSS CME application and review process.
  • Train new coordinators and activity directors on CME compliance.
  • Evaluate accredited education activities and assist program manager in making notices of commendation or recommendations for improvement.
  • Attend professional educational and developmental meetings relating to accreditation.
  • Assist with on-site events, as needed, which includes working directly with marketing and facilities to ensure CME compliance.

CME Office Administrative Support:

  • Review CME applications and other documentation required for approval of CME activities.
  • Help with the collection and analysis of CME event announcements, conflict of interest forms, activity evaluation data and participation data to rectify non-compliant materials and assure compliance with ACCME policies, requirements and standards.
  • File CME event management documentation using electronic directories and manual folders.
  • Help prepare periodic reports for office leadership.

Other Duties:

  • Facilitate record keeping in compliance with university, college and department guidelines and follow archival record keeping practices.
  • Support in writing, editing and finalizing needed emails, letters, memos, templates, procedures, guides and other resource materials for the office to communicate with internal and external stakeholders.
  • Assist with special initiatives, committees, work groups or projects that support the initiatives set by office leaders.
  • Provide backup support for the office, as needed.

Knowledge, Skills & Abilities:

  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Strong oral and written communication skills, with the ability to interact effectively with individuals at all organizational levels.
  • Ability to communicate effectively with different groups/individuals and provide excellent customer service.
  • Experience in managing multiple and competing demands/projects.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Three (3) years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Experience working in a higher education institution.
  • Experience managing Continuing Medical Education events or similar processes.
  • Experience with ACCME requirements/standards.
