Position Highlights

This position is responsible for curriculum and enrollment for all academic programs and administrative support for the School of Anthropology. This person will coordinate a graduate program comprised of three degree programs: PhD and Masters. This person will serve as the liaison between the graduate students and the graduate college and will serve as the administrative point person for faculty who work with graduate students.

This position requires administrative support for the director of graduate studies and school director. The position is responsible for seeing students through the pre-application/recruitment stage, application stage, and their tenure as graduate students. Tasks include responding to graduate student inquiries and the processing of financial aid and scholarships, graduate applications, and official paperwork to verify graduate student milestones.

Additionally, this individual works with the Associate Director on the schedule of classes and staffing of said courses in the School of Anthropology.

Duties & Responsibilities

Curriculum & Enrollment Coordination:

  • Maintain and update schedule of classes for undergraduate and graduate courses across all modalities and sessions/semesters.
  • Coordinate course details and catalog updates, including course/program add requests, course modifications, and course inactivation for undergraduate and graduate programs.
  • Monitor class and departmental enrollment data, SCH, and majors and various reports for enrollment, temporary teaching budget, RCM, etc.
  • Support the submission of proposals for new majors, minors, and certificates.
  • Collaborate with others on the SBS Temporary Teaching Budget Report.
  • Register undergraduate and graduate students in classes, as needed.
  • Coordinate any student internships and coordinate with supervisors from partner organizations.

Graduate Program Coordination:

  • Coordinate graduate program application and admissions process with GradApp.
  • Ensure incoming graduate students are oriented into the program. Coordinate and manage orientation and graduation ceremonies.
  • Provide support to faculty graduate advisor and Director of Graduate Studies with GradPath, workshops and communication.
  • Meet and assist graduate students throughout their course of study, including registration, plan of study, petitions, written and oral comprehensive exams and PhD defense scheduling.
  • Monitor graduate student progress using GradPath and maintain graduate student files.
  • Work with Directors of Undergraduate and Graduate studies to coordinate assistantships, student funding, assignments, and generate offer letters.

Faculty Affairs:

  • Coordinate promotion and tenure process.
  • Assist with annual performance reviews for faculty and serve as UA Vitae coordinator.
  • Coordinate sabbaticals and leaves.
  • Process & manage DCCs, visiting scholars, international scholar & visa issues.
  • Coordinate faculty awards, orientations, recruitment, etc.
  • Work with faculty committees and coordinators to help manage GTA semester evaluations.

Career Strategy:

  • Manage student internships and coordinate with supervisors from partner organizations, maintain a professional database, and provide internship reports.
  • Provide students with career placement services such as developing professional cover letters, resumes, portfolios, and coaching students on job interviews.
  • Supervise students who enroll in internship credit, including teaching Career Success courses.
  • Promote in coordination with College internships throughout campus using office hours, class visits, flyers, and events.

Administrative Support:

  • Support Directors of Undergraduate and Graduate Studies and Curriculum Committees.
  • Perform administrative tasks related to the daily operation of academic programs, including departmental files, course syllabi, course evaluations, course descriptions, book orders, change of grade forms, etc.
  • Collaborate with and assist department personnel on logistics for events, committee meetings, orientations, speaker visits, and retreats.
  • Provide information and content to web pages, promotional materials and social media.
  • Advise on academic policies and procedures.
  • Other duties as assigned.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications

  • Bachelor's degree in related field.
  • Master's degree in related field.
